Full-time Temporary

Details: Digital Data and Technology Solutions (DDTS) is seeking expressions of interest for an Executive Officer to the Chief Digital Officer for up to three months with possibility of extension. The position’s overall accountability is to manage the office of the Chief Digital Officer, including facilitating workflow, coordinating all communication and the management and prioritisation of all administration.


WHAT YOU WILL DO 1. Coordinate workflow through the Chief Digital Officer’s office in relation to correspondence, Cabinet and Legislative Assembly documents, as well as preparing strategic and complex submissions, reports, briefs and correspondence in relation to a diverse range of matters. 2. Liaise with highly influential stakeholders and their offices on behalf of the Chief Digital Officer, including ministers, the Head of Service, the Under Treasurer and Directors-General. 3. Provide high level executive administrative and secretarial services to the Chief Digital Officer and the Group, including:

  • Coordinate and review incoming and outgoing communication and documentation for the Chief Digital Officer;
  • Prioritise and monitor workflow, tasks and activities, researching information as required, and responding in a timely manner as appropriate;
  • Prepare confidential correspondence;
  • Coordinate responses on a range of issues for the Group as required.

4. Coordinate reporting and provide secretarial and administrative support through a range of activities including the preparation of agendas, papers required for meetings, the recording, transcribing and distribution of minutes for meetings. 5. Monitor correspondence tracking systems (Trim) to ensure quality control and timeliness of responses is maintained. 6. Critically examine, evaluate and take appropriate action on reports, submissions and information submitted to the Chief Digital Officer to ensure relevance, completeness and accuracy. 7. Monitor customer relations correspondence to ensure timely and efficient responses are maintained for the Chief Digital Officer office. 8. Provide overall leadership of a team of EA’s across DDTS to ensure work is flowed and cleared within required timeframes. 9. This position has direct supervisory responsibilities of an Executive Assistant. WHAT YOU REQUIRE The information below describes the capabilities that are required to perform the duties and responsibilities of the position. Professional / Technical Skills and Knowledge 1.Expert level MS Word, MS Excel, MS PowerPoint and Outlook 2.Advanced knowledge of the ACT Government business and administrative processes and policies. Behavioural Capabilities 1.Ability to efficiently plan, organise and prioritise, and anticipate possible changing circumstances; to manage workload and competing priorities and multiple demands to meet deadlines; 2. Establish and maintain effective and diverse strategic business partnerships, including with senior stakeholders and clients; through collaboration, engagement, responsiveness and influence; 3. Analytical thinking, particularly the ability to understand how issues integrate and to make rational judgements from available information; 4. Advanced ability to present verbal and written information clearly in a well-structured and logical way; 5. Adaptability to changing circumstances and resilience while performing in a high pressure, complex and diverse environment. Compliance Requirements / Qualifications 1. A current ACT Government CMTEDD issued Personnel Vetting Program certificate (Baseline clearance equivalent) is required for this position, or the ability to obtain and maintain one. Eligibility/ Other Requirements
: Position will be at a SOGA or SOGB level depending on experience. Note: This is a temporary position available immediately for a period of three months with the possibility of extension. Selection may be selected based on application only. This position is available to ACT Government officers and employees only
