EA/Production Assistant - Hiring Fast - Part-Time

Indelible Creative Studio is a creative production company based in Napier, Hawke's Bay, that creates compelling video content for companies worldwide. From corporate marketing videos to photography to 360 virtual reality training and television shows, we produce it all. We're a small but close team that hits above our weight on a national level.

Unfortunately for us, our current EA/Production Assistant is getting married and moving to Tauranga (booooo) - so we're looking for someone to replace her (not an easy task).

First and foremost, the role is as an assistant to our CE Dan, but it also includes many other general office admin tasks, such as doing the daily account reconciliation, assisting other members of the team, and, when needed, helping out on shoots. Here are some of the tasks you'd be doing:

• Assisting Dan with tasks such as writing and adjusting emails, taking notes in meetings, and sending messages on his behalf.
• Managing the boss's calendar, booking appointments, setting up trips, and prioritising important tasks.
• Handling a bit of data entry.
• Assisting with personal tasks such as booking restaurants and purchasing gifts.
• Helping get information to our social media team, keeping everyone organised, and coordinating with our contractors.
• Constantly looking for ways to make things easier for the boss, such as keeping the office tidy and well-stocked with essentials.
• We have a shared space called the Mailroom, so ensuring that it is always well stocked as well.
• Doing the daily reconciliation in Xero and data entry of bills (don't worry there will be training for this - but any past experience would be beneficial)
• Setting up meetings for the team, including scheduling, sending reminders, and arranging catering.
• Answering phones, greeting visitors, and directing them to the right person or department.
• Sometimes, you might assist in shoots, help our producer book gear and schedule crew, record voiceovers, manage data, or transfer footage from servers (don't worry there will be training for this too, but an interest in the industry is definitely handy!)
• Demonstrating cultural understanding with an openness to learning more.

Training will be provided for all of the above. We use the Google Workspace suite (ie Google Docs, Sheets, Drive etc) so competence in that would be ideal.

It's also important you have a restricted or full driver's license.

The hours are currently 20 hours a week, with the potential for that to increase. The preference is to work mostly from the office, but there is flexibility to work from home when required.
