Job Description - PURCHASING AND IMPEX COORDINATOR

Purchasing, Procurement & Inventory (Manufacturing, Transport & Logistics)

  • Plans and implements import/export strategy and activities consistent with overall items and requirements staying cost effective to organization.
  • Monitors daily [import/export] shipments/delivery requirements.
  • Monitors and assists with the daily running processes in the Import and Export section.
  • Ensures inventory is well managed by assisting with cycle counts and stocktakes. 
  • Liaises with the Accounting, Sales and Operations teams to ensure efficiency and effectiveness.
  • Liaises with suppliers to build relationships, ensures the best pricing and sources alternative suppliers as required.
  • Works with Purchasing and Logistics Manager to ensure the most economical methods of transport are used for importation and exportation.
  • Responsible for procurement and logistics activities across the business.
  • Heavily coordinates with stakeholders ensuring that procurement and logistics requests are attended to timely.
  • Identifies potential vendors, carries out the prequalification of suppliers and maintains supplier database.
  • Responsible for reducing costs and negotiates rates.
  • Ensures that the information in the material requisition is complete before assigning the PR number.
  • Tracks procurement requests (PR).
  • After canvassing, initiates the processing and monitoring of purchase order for approval and signature of the department manager and the President.
  • Monitors and updates the status of purchase order records.
  • Files the finished purchase order and maintains the purchase records for traceability purposes.
  • Has the ability to effectively analyse data to support effective procurement planning.
  • Ensures regular and periodic evaluation of suppliers’ performance. 
  • Resolves vendor or contractor grievance, and claims against suppliers. 
  • Maintains records of items ordered and received.
  • Develops new procurement policies and procedures, and conducts regular reviews of the existing ones to ensure they are updated.
  • Ensures that purchasing activities are in accordance with purchasing procedures.
  • Ensures proper storage and transportation of goods to requested destinations.
  • Liaises with suppliers and freight forwarders to effectively monitor shipments.

Qualifications: 

Functional / Industry requirements

  • College graduate of any course
  • With Procurement experience of at least 3 years
  • With knowledge and background in Import and Export


Computer Literacy

  • Microsoft Office 365 Products
