The Marketing Operations Assistant will primarily be responsible for performing various administrative tasks to support our field marketing operations, with a focus on procurement facilitation, vendor management, payment processing, and logistics coordination across Europe, Middle East, Africa, and Asia. We are seeking a highly organized and detail-oriented individual to join our team as a Marketing Operations Assistant . In this role, you will primarily be responsible for performing various administrative tasks to support our marketing operations, with a focus on procurement facilitation, vendor management, payment processing, and logistics coordination across Europe, Middle East, Africa, and Asia. Kraków, Czerwone Maki 82 Responsibilities: Manage and facilitate the procurement process for marketing materials, equipment, and services, ensuring timely and cost-effective sourcing. Create, maintain and update vendor a database, including contact information, pricing, and terms of agreement. Collaborate with vendors to negotiate contracts, resolve issues, and ensure compliance with company policies and procedures. Process vendor invoices and coordinate payments, ensuring accuracy and adherence to budgetary guidelines. Coordinate the shipping and logistics of marketing materials, collateral, and other equipment to various locations within the designated regions. Monitor inventory levels of marketing materials and supplies, proactively identifying and addressing any shortages or replenishment needs. Collaborate with cross-functional teams, including field marketing, customer insights, logistics and finance, to support campaign execution and ensure smooth operations. Assist with data management and reporting, maintaining accurate records of procurement, vendor contracts, and payment information. Requirements: Bachelor's degree in business administration, marketing, or a related field (or equivalent work experience). Proven experience in administrative roles, preferably in marketing operations or procurement. Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively. Excellent communication and interpersonal skills, with the ability to collaborate with internal stakeholders and external vendors. Basic knowledge of shipping and logistics processes, including customs regulations and requirements. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace and other relevant software applications. Ability to work independently and meet deadlines in a fast-paced and dynamic environment. Willingness to travel occasionally, as required. Working knowledge of English and German is required.
