Job Purpose
Assist in monitoring the administration and management of ACONEX system across different functions, drive consistency in delivery, preform document control services, enforce filling, collecting, distribution procedures of controlled information, and ensure proper execution of works through monitoring projects progress and teams performance to deliver the projects on time while maintaining the cost and quality parameters to meet Red Sea Global (RSG) business objectives and requirements.

Ensure that the overall project management strategy/plan is executed and monitor the performance and execution of those plans to achieve functional objectives and deliver the company s strategy.

Project Information
Monitor the registration, classification, storage, scanning, version control, tracking, filing and transmission of electronic files and physical paper copies, financial documents, invoices and other controlled documents as required by the function to enhance internal efficiencies and document control process effectiveness.
Assist in defining procedures to keep well-organized files and documents to ensure confidential information and is handled with complete discretion.
Scrutinize documents received for archiving, following up with relevant stakeholders, and decide on key search string references to be specified to maintain data standardization.
Implement e-filing procedures to ensure that hard copy documents are well conserved in an organized system to facilitate future access.
Ensure the information and management control system is implemented in compliance with the client s standard.
Ensure the Project Team members are provided with adequate training and support to enable them to successfully use the procedure and systems.
Responsible for the storage of the active and archived documents to prevent damage and deterioration. Also responsible for identifying, collecting, indexing, filing, maintaining and disposal of quality records.
Support projects managers and directors in developing minutes of meeting, documents, reports, etc., type copy, and distribute the corresponding files before the meeting.
Assist when needed RSG employees in preparing mockups, tender document, RFP etc. through printing, developing the index, binding, pull drawing etc. ensure fast response and on-time delivery.

Policies, Systems, Processes, Procedures, Standards and Reports
Follow all relevant functional policies, processes, standard operating procedures and instructions to ensure that work is carried out in a controlled and consistent manner.
Assist in the preparation of accurate and timely functional MIS statements and reports to meet corporate and functional requirements, policies and standards.
Safety, Quality and Environment
Apply safety, quality and environmental management policies, procedures and controls to ensure employee safety, legislative compliance, delivery of high-quality products/service and a responsible environmental attitude.
Continuous Improvement
Contribute to the identification of opportunities for continuous improvement of the department's systems, processes and practices considering international best practice , improvement of business processes, cost reduction and productivity improvement.
Job Stakeholders - Internal
Senior stakeholders, Architecture function and MEP function.
Job Stakeholders - External
Service providers, vendors, consultants, subcontractors and contractors.
Job Requirements - Qualification & Experience
• Bachelor s degree in Information System/Information Technology/Engineering or any related field
• Additional courses in ACONEX software (preferred) or PMWeb, Oracle Unifier or etc.
• PMP or any relevent certification are preferred.
• Minimum of (8) years of experience (Preferred IT)
