Job Purpose

The Facility and Administrator Director in the hospital is responsible for managing the physical environment, ensuring regulatory compliance, maintaining financial sustainability, and promoting quality of care and patients’ satisfaction. They play a critical role in supporting the overall mission and objectives of the organization while upholding the highest standards of professionalism and integrity. This role is crucial in Developing and executing emergency preparedness plans, and training staff to respond effectively to potential crises.

Qualifications:

  • Bachelor’s degree in business administration or related field.
  • 10+ years of experience in administration and Hospitality - at least 5 years in the same position.
  • Healthcare and hospitals background are preferable.
  • Strong Communication & Conflict Management Skills.
  • Strong Negotiation Abilities.
  • Strong Problem-solving abilities.

Frameworks, Boundaries & Decision-Making Authority

  • Responsible for any administration needs from patients or internal employees.
  • Accountable for the hospitality and maintenance inside the hospital.
  • Accountable for all Safety standards.

Decision-Making Authority

All matters related to administration, hospitality, and maintenance within the hospital. This includes decisions concerning safety standards and measures that impact the facility's operations and patient care.

Responsibilities:

  • Participating in long-term strategic planning for the facility, including expansion projects, service enhancements, and community outreach initiatives.
  • Ensuring compliance with all relevant healthcare regulations, including those set forth by state and federal agencies (e.g., CMS, OSHA, HIPAA).
  • Overseeing the maintenance, cleanliness, and safety of the physical environment, including patient rooms, common areas, and medical facilities.
  • Managing building systems, such as HVAC, plumbing, and electrical systems, to ensure they meet regulatory requirements and support patient care.
  • Collaborating with regulatory agencies during inspections and audits to maintain accreditation and licensing.
  • Developing and implementing emergency preparedness plans to address potential crises, such as natural disasters, infectious disease outbreaks, or security incidents.
  • Conducting drills and training staff on emergency response procedures.
  • Developing and managing the budget related to the facilities area, including forecasting expenses, monitoring spending, and identifying cost-saving opportunities.
  • Negotiating contracts with vendors for services such as maintenance, security, and supplies.
  • Implementing quality improvement initiatives related to the facilities area to enhance patient care and satisfaction.
  • Monitoring and analyzing data related to patient outcomes, safety incidents, and facility operations to identify areas for improvement.
  • Collaborating with other department heads to ensure coordination and communication across all areas of the organization.
  • Supervising facility maintenance outsourced companies/services, including commissioning and evaluating their performance.
  • Working to create a positive environment; related to the hospitality work for patients, residents, and their families by addressing concerns and implementing feedback mechanisms.
  • Ensuring that the physical environment contributes to the comfort and well-being of patients and residents.
  • Overseeing the implementation and maintenance of technology systems used in facility operations, such as electronic health records (EHR), security systems, and communication tools.
  • Direct the preparation of Administration & Facilities budgets and monitor financial performance versus the budget so that the business is aware of anticipated costs/revenues, areas of unsatisfactory performance are identified, and potential performance improvement opportunities are capitalized upon.
  • Considering any identified service problems, facilitate the alignment of internal processes to overcome operational issues and hence improve the quality of service received by customers.
  • Assure that Hospital licenses including MOH licenses, safety licenses…etc. are updated 100%
  • Oversee the implementation of disposable waste process (medical and non-medical) by safe methods compliant with the standards & regulations.
