Job Description - Lodge Procurement Administrator

5* Game Reserve close to Grahamstown is looking for a Lodge Procurement Administrator.  The main dutie would be to support the stores team. The ideal candidate will assist with the day-to-day administrative tasks, ensuring the smooth and efficient operation of the procurement department. This role requires excellent communication skills, a proactive attitude, and the ability to multitask.  The candidate will report to the Executive chef with input from the Financial Controller. Working hours: Monday to Friday with occasional Saturdays or Sundays.

  • Administration: Assist with loading invoices / Assist with managing stock / Assist storemen with receiving deliveries, checking and packing / Assist storemen with preparing deliveries to lodges / Check all expiry dates
  • Once a week visit to all lodges and villas to check on: Housekeeping, food, bar, and equipment stock / fridges/ deep freezers/ stock management/ rotation of stock/ expiry dates
  • Manage stock takes and loading of figures
  • Compare prices from suppliers
  • Equipment lists from villas and lodges
  • Send updated lists of shortages etc to managers

Requirements:

  • Matric or Grade 12 certificate would be an advantage
  • Minimum of 3 years hospitality service experience in reputable establishments
  • Valid Code 8 / 10 Driver’s license is compulsory.
  • Valid PDP would be an advantage
  • Computer literate and functionally competent (Excel, Word, Email)
  • Able to communicate clearly with suppliers, managers, and colleagues
  • Must be able to work in a team
  • Sage stock system
  • Physically strong and able to work in fridges and freezers
  • Good knowledge of administration (food and beverage/stock-taking systems)
