Senior Event Planning Coordinator
Location:
Arlington, VA/Joint Base Andrews, MD (Hybrid/Remote)

This position is hybrid and requires a weekly on-site presence at Joint Base Andrews on Fridays for a full work day. The client reserves the right to request modifications of scheduled hybrid support depending upon client senior leadership direction.

Description: seeking a full-time Senior Event Planning Coordinator to provide contract support to the Chief, National Guard Bureau (CNGB); Vice Chief, Director, Army National Guard (DARNG); Director, Air National Guard (DANG) and Director, Joint Staff (DoS). Requirements include a variety of clerical, administrative and technical support for documents published by the NGB. The support consists of writings and revisions of numerous NGB correspondence as well as conference program scripts, program flyers and other official ceremonial documents. Additionally, this role requires data analysis on cost of conferences, cost comparisons, spending habits, and other analytical tasks as needed. Conferences, training workshops, and training enhancements are a major part of this requirement. Association with senior leaders and general staff of the military is a key requirement for this contract and requires a significant degree of professionalism as well as a senior level writing and editing.

The Conference Management Branch (CMB) is also responsible for planning meetings, conferences, and other activities (“Events”) in areas of assignment. As an integral part of the National Guard Conference Policy process, the CMB is responsible for providing guidance and ensuring event request packages for all agencies are complete in accordance with DoD and NGB Conferences Policies.

Job Duties:

  • Serve as a senior member of the conference and event planning team; performing event planning tasks including (but not limited to) financial analysis, site location surveys, and compliance with government policies.
  • Provide guidance on event coordination—organizing logistical support for conference setup including audio visual, meeting space requirement, attendee lodging, etc.
  • Prepare Event Request Packages in accordance with the policies and regulations for several publications and provide an Executive Summary report to conference proponent.
  • Coordinate with Action Officers (AO) to verify completed conference packets are submitted within the established conference policy guidelines for approval.
  • Prepare and edit official correspondence including Government's Hotel Letters of Intent (LOI), memos, brochures, etc.
  • Coordinate conference arrangements between the Government and the hosting conference property.
  • Collect input from government personnel and build presentations for fiscal year conference review plans, present them to the Branch Chief for approval and offer courses of action to comply with DoD guidance as it pertains to conference policy.
  • Maintain open communication with all AOs until completion of events—maintaining relationships with both internal and external government contacts.


    Qualifications:

  • 10+ years of experience related to event/conference management required.
  • 5+ years of experience specifically managing DoD/NGB events/conferences required.
  • Working knowledge of wide variety of in-person meeting locations and virtual event platforms.
  • Familiar with corporate productivity tools including Microsoft Office 365 applications (e.g. SharePoint and MS Teams).
  • Able to handle real-time changes during event setup and execution
  • Strong professional with the ability to work autonomously as a senior production member
  • Strong organizational skills and attention to detail
  • Capacity to project manage multiple, concurrent events
  • Strong vendor relationships and negotiation skills, with experience working in venues and extensive knowledge of event budgeting.
  • A high level of integrity and passion for, and caring about, the quality of event production
  • Excellent communication and people skills and passion for staying current with event marketing and cultural trends
  • Exceptional ability to work in a remote/hybrid capacity with minimal supervision and unquestionable time/attendance accountability
  • Experience working with DoD personnel, military protocols, plus the ability to maintain strong relationships and communicate with senior Military leaders, staff, and key personnel is a key requirement.
