Job Description - Administrative Assistant

We are seeking an experienced Administrative Assistant who thrives in a dynamic and fast-paced environment. This role is perfect for someone who is organized, tech-savvy, and has experience in startup or tech environments. As our team and workload have expanded, you will play a crucial role in managing a diverse range of administrative and project tasks. These include conference planning and logistics, executive support, and leveraging technology to support a small team in a vibrant, remote setting. This position offers significant growth potential in a developing company where adaptability is essential. Key Responsibilities: Manage and oversee tasks in ClickUp (project management software), ensuring timely follow-ups with team members.
Coordinate all aspects of veterinary conference planning including scheduling, liaising with organizers, travel arrangements, event planning, and logistical support.
Handle HR administrative tasks such as supporting onboarding and offboarding processes, conducting employee surveys, scheduling interviews, and managing recruitment activities through our Lattice HR system.
Provide comprehensive support to the executive team, including arranging travel, scheduling meetings, and managing daily tasks.
Take charge of planning and logistics for company-wide offsites, as well as support team travel arrangements.
Organize and maintain company slide decks and monthly virtual events.
Manage ordering of company apparel and equipment.
Offer general administrative support across various teams, including Veterinary and Marketing departments.
Efficiently manage email communications and prioritize daily tasks that require immediate attention.

This position is currently remote but will transition to a hybrid model with a requirement to be present in either our San Francisco or NYC office two days a week. We currently utilize WeWork offices on a part-time basis. Ideal Candidate:
