Job Description - Accounting Assistant II

Job Title: Accounting Assistant II Location: Operations and Maintenance Pay Grade: Clerical Scale Grade C11 Work Calendar: All 12 Month Staff FLSA Status: Non-Exempt GENERAL PURPOSE Under the supervision of the Director of Maintenance and direction of the Office Manager/Executive Assistant, the Accounting Assistant II performs technical and clerical work involving the preparation and maintenance of financial records and analysis of complex data. MAIN JOB TASKS AND RESPONSIBILITIES Perform Payroll timesheets and mileage
  • Verify time and leave reports submitted and make corrections as needed
  • Prepare, process and maintain accurate employee payroll records monthly
  • Prepare Monthly Payroll Reports, as needed
  • Serve as liaison between Operations & Maintenance Department and school departments regarding part time payroll
  • Create/Submit Mileage Logs for staff
  • Manage/Process Workman's Compensation filings/requests
Perform Administrative/Accounting duties
  • Prepare purchase order requisitions
  • Prepare Sole-Source and Emergency procurements
  • Process/Reconcile credit card purchases
  • Receive/Review Invoices and process for payment
  • Compare checks with invoices and forward to vendors
  • Respond promptly and thoroughly to written and oral requests for information
  • Plan, schedule, and perform a wide variety of clerical and typing work related to the specialized functions to which assigned
  • Serve as point person with vendors as needed

EDUCATION AND EXPERIENCE
  • High school diploma, G.E.D., or any combination of education and experience equivalent to graduation from high school, supplemented by courses in bookkeeping or accounting
  • Previous experience and/or training which would provide the required knowledge, skills and abilities to perform varied accounting procedures and related clerical functions are required
  • Demonstrated computer skills and experience as related to the position and, in particular, Microsoft Office (word, excel, etc.), Google Suite and various computer-based accounting systems
  • Ongoing evidence of mental and physical competence to perform assigned responsibilities may be required from a qualified physician
  • An applicant who has had prior experience in a related position must have a performance rating acceptable to Stafford County Public Schools for such experience
KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge
    • Comprehensive knowledge of Operations & Maintenance Department operations and procedures
    • Demonstrate knowledge of Stafford County School Board financial management policies and procedures
    • Demonstrate knowledge of standard accounting principles and methods
    • Demonstrate general knowledge of standard office procedures, practices and equipment
    • Demonstrate knowledge of one or more computer applications as required for the position
  • Skills
    • Demonstrate effective time management and organizational skills
    • Demonstrate initiative and ability to work independently
  • Abilities
    • Ability to gather and analyze data. Tracks Payroll budget and makes recommendations for improvement based on analysis of data
    • Ability to write and design reports required by Operations & Maintenance Department directors and school departments
    • Demonstrate the ability to follow detailed procedures and perform mathematical computations with accuracy
    • Demonstrate ability to work cooperatively and positively with staff, students and community
    • Demonstrate ability to use appropriate written and verbal communication including a thorough knowledge of English grammar, usage and spelling
    • Work cooperatively in a team environment to meet goals
    • Organize and perform work independently
    • Meet deadlines for all work even when working on multiple projects
    • Show sustained effort and enthusiasm in quality and quantity of work
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
  • Work environment is inside an office, with moderate temperatures that are controlled and no exposure to chemicals or other negative air quality elements.
  • The work is moderate work, requiring exertion of up to 20 pounds of force to move or lift objects.
  • The following physical and mental abilities are representative of those expected to complete the essential functions of the job: standing for prolonged periods; sitting for prolonged periods; moving the hands, wrists, or fingers repetitively; moving with force on the back or lower body repetitively; feeling, grasping, or holding objections by hand; identifying colors visually; identifying objects in low light or distant conditions; communicating via spoken language; communicating via written language; perceiving sounds; making decisions using logic and rational thinking.
