Job Description - Assistant Front Office Manager

Job Description



Summary
The Assistant Front Office Manager directs the activities of the Front Office, Guest Service, and Concierge staff to maximize room revenues and to assist in room availability control. This position will cover the PM hours with a work shift of 2:30pm-11pm.

The budgeted salary range for this position is $65,000-$70,000. Actual pay will be dependent on budget and experience, all our salaried roles are eligible for bonus.

Essential Job Functions
• Report for work in a neatly groomed and acceptable manner 
• Be responsible for the grooming of on-shift employees as outlined in the employee handbook and further developed in the departmental rules
• Handles and resolves guest issues and complaints in a timely manner
• Manages the Front Desk Agents, Guest Services, and Concierge staff
• Monitors and Coaches all Limelight standards in all guest services positions in the Rooms Division ensuring the very best customer service for every guest every time
• Ensure payroll administration is accurate and timely
• Ensure the smooth functioning of the registration and cashiering areas of the Front Desk
• Evaluate staff per given time frames, coach as needed
• Work with overnight staff to ensure follow-up on any problems, guest requests, etc.
• Assists the Front Desk Manager in the following duties: 
- Daily Operations Report 
- Future room blocking 
- Lift ticket ordering 
- Group billing 
- Management of ALICE system
- Log and search Lost & Found items 
- Incident Reports 
- Scheduling
• Review daily arrivals, special requests, group needs, room assignments, etc.
• Work with hotel departments, and establishments with regard to groups, VIP’s and individual guests to ensure an excellent experience for the guest. Work to resolve all credit problems daily with accounting
• Work with Group Coordinator on group arrivals, room blocks, and departures
• Train new staff and cross-train in the slow seasons for development and motivation; coach as needed
• Keep all personnel up to date on policies and procedures relative to their areas
• Attend meetings: Daily Operations, Arrivals Meeting, BEO/Resume Meeting, Bi-Weekly Managers Meeting
• Perform as Manager on Duty as required

Qualifications



• Excellent written and spoken English
• College degree preferred
• 3 years hotel experience, peferably in a superviosry role
• Computer experience preferred

Supervision Given and Received 
Given: Exercises general supervision over Front Desk, Concierge and Guest Service Staff. Assigns a variety of routine tasks, sets general expectations of results expected within company’s policies and procedures. Responsibilities include but are not limited to, interviewing, hiring, planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Received: Works under supervision of the Front Office Manager. Receives guidance in terms of broad goals and overall objectives and is responsible for establishing strategic methods to attain them. Can formulate policies but does not necessarily have final authority for approval. Review of work is not detailed and emphasizes accomplishment of broad work objectives, rather than specific assignments.

Work Environment and Physical Demands 
• Ability to stand, type and sit at desk/computer for most of the work shift executing repetitive movements
• No adverse or hazardous conditions 
• Not required, but preferred to be able to occasionally lift, push or pull 25 lbs. individually or with assistance
