Job Description - Department Administrator

Position Summary:

The Department Administrator serves as the primary business manager of the fiscal, academic, and administrative functions of the department of Art History. This position is responsible for managing departmental staff, developing and maintaining department and research budgets; assisting in the acquisition and allocation of research funding; and managing gift accounts, affiliates portfolio, and long-range budget projections in support of the vision and goals of department and Chair. The incumbent will manage key administrative operations for the department including facilities, space allocation, human resources, communications, supervision of staff, equipment inventory, and programmatic and research support. The ideal candidate is a detail-oriented leader with strong communication skills (both written and verbal) and the proven ability to effectively work with people of diverse backgrounds, skills, and perspectives.

Proposed Hiring Range: This position is benefits-eligible, exempt, and has an expected minimum salary of $70,000 (dependent on experience and qualifications).

Minimum Requirements:

  • Bachelor's Degree
  • Two years of related experience in one or more of the following:
    • Business management/administration/operations
    • Human resources administration/training and development
    • Supervisory experience
    • Research administration, grants, and contracts with federal or state agencies
    • Strategic planning
  • In lieu of the education/experience requirement, additional related education and/or experience, above and beyond what is required, may be substituted on an equivalent year-for-year basis.

Skills:

  • Advanced knowledge of word processing, spreadsheet, email, and database software programs to complete work assignments
  • Advanced data reporting skills
  • Strong verbal and written communication skills
  • Intermediate problem solving and critical thinking skills
  • Ability to work independently, owning responsibility for timely completion of work
  • Organizational skills with the ability to manage multiple and sometimes competing deadlines

Essential Functions:

  • Leads support to faculty, programs, administrators, students, and staff by managing day-to-day operations of the department and / or assigned functions
  • Administers three or more major department functions, including: research administration, budget / finance, program administration, human resources, communications / outreach, and compliance
  • Interprets, implements, and ensures compliance with policies and regulations and recommends changes to departmental procedures and processes
  • Represents the department at the university level and / or to external parties
  • Creates and implements outreach plans that may include relationship development, communications, and event management
  • Under general direction of the Chair, responsible for budget planning and management: creating budget plans, monitoring and approving, expenditures, developing reports, conducting analyses and managing and maintaining financial records
  • Administers graduate and undergraduate programs, including graduate student recruitment and admissions, student records, curriculum support, coordinates the accreditation process, manages scholarships and fellowships, advises students and monitors their progress
  • Manages the human resource function for the department for staff; coordinates the visa process for international faculty, staff and students; coordinates faculty searches and the promotion and tenure process
  • Provides pre- and / or post-award research administration
  • Supervises small staff
  • Performs all other duties as assigned
