Description
Leave and Accommodation Specialist administers accommodations for employees according to U.S. and Canadian law: Americans with Disabilities Act ( ADA )/ Americans with Disabilities Act Amendments Act ( ADAAA )/ Canadians Human Rights Act ( CHRA )/local regulations. Leads, educates, and advises the business and other internal stakeholders regarding compliance according to relevant regulations and UKG policy. Additional responsibilities include support of Leave of Absence administration. Strong organizational and communication skills critical to success in this role as there is frequent communication necessary with employees, managers and other internal partners.
Primary Duties and Responsibilities:
- Administration of Reasonable Accommodation (RA) requests including the analysis, engaging in the interactive process, tracking, recommendations to the business and other internal stakeholders of reasonable accommodations, and timely communication
- Engage key partners as needed, including internal HR Business Partner, Employee Relations, Workplace Services, and Legal Teams, and external healthcare providers, third-party disability administrator, and sometimes Workplace Services when impacted
- Maintain comprehensive and compliant case management records of accommodation requests
- Communicate with U Krewers regarding UKG policies and leave administration while being compliant and mindful of privacy considerations
- Stays informed of changes with disability law and/or changes in interpretation of law
- Educate leaders and the HR community on the accommodations process and its relation to ADA , ADAAA , CHRA and other federal regulations, state statutes and local ordinances
- Supports administration of personal leaves of absence
- Coordinate paid and unpaid time and maintain accurate records within UKG Pro (payroll system)
- Review and coordinate benefits eligibility pursuant to UKG policies and relevant regulations for those on leaves of absences.
Qualifications
Basic Qualifications:
- 2-4+ years of experience with ADA , ADAAA , and CHRA reasonable accommodation administration and multi state leave administration with preference for CA, FL, and MA experience
- Thorough knowledge of leave requirements and other legal protections afforded by the FMLA , ADA , Accommodations, Worker’s Compensation, STD and LTD , Return to Work process and other applicable laws including an understanding of the interactive ADA process and effectively administering it
- Professional and effective written and verbal communications skills with proven competency in analytical problem solving, attention to detail, organizational skills, multi-tasking, and approaching challenging matters with enthusiasm and creativity in a proactive manner.
- Knowledge and understanding of HIPAA and related Federal and State privacy laws and regulations
- Work in a fast-paced environment and able to meet deadlines while managing multiple projects/tasks
- Display professionalism with all employees and vendors.
Preferred Qualifications:
- Current knowledge of employment laws as they pertain to: ADA , ADAA , IRS Code Section 125 regulations, ERISA , FMLA & state specific leave laws/acts, HIPAA , FLSA , workers’ compensation, OSHA , EEOC , COBRA and CHRA
- Ability to collaborate with cross functional teams to gather input, understand business
- Proficiency in Windows based applications, including Excel, Word, Outlook, and PowerPoint
- Experience utilizing benefit administration software preferred
- Strong verbal and written communication skills
- Strong critical thinking, independent judgment and reasoning skills
- Strong customer service orientation
- Strong collaborative and partnering skills
- Solid analytical and interpretive abilities
- Superior organizational, case management and documentation skills
- Ability to work well in an ambiguous work environment
- Ability to work with, and appreciate, diverse individuals and groups
Pay Transparency for Colorado, New York, Washington and California
The pay range for this position in Colorado, New York, Washington and California is $76,500 to $110,000, however, base pay offered may vary depending on skills, experience, job-related knowledge and location. This position is also eligible for a short-term incentive and a long-term incentive as part of total compensation.

San Francisco Bay Area Pay Law
There is a different range applicable to specific work locations, within the San Francisco Bay area, the base pay range for this role in those locations is USD $76,500 to $110,000 per year.
