Job Description - Loan Administration Assistant

Loan Administration Assistant Location Evansville, IN (Downtown area) : The Loan Administration Assistant is responsible for providing critical administrative support to Loan Administration, Commercial Lending, Mortgage Loan Processors and Retail Lenders. This fast-paced role requires a high level of integrity and discretion in handling confidential information while proactively solving issues that affect internal and external customers. Essential Job Functions include, but are not limited to:
  • Conveys maintenance requests to the Loan Operations Department, including force-placed insurance.
  • Tracks required insurance on commercial loans.
  • Distributes and works tickler reports on Credit Risk Management system (Sageworks).
  • Updates ticklers on credit risk management system (Sageworks).
  • Processes Flood Determination orders for approved loans.
  • Completes manual monthly tasks for customers as requested or scheduled.
  • Prepares/mails financial request letters and processes financial documents upon receipt.
  • Monitors the Commercial Funding GL account. and Exchange GL account.
  • Processes Letter of Credit Interest Payments/Wires Monthly.
  • Manages and assigned emails in the department email inbox.
  • Maintains approved appraiser documentation and list.
  • Processes paid commercial loans.
  • Saves, scans, and indexes documents to document management system (Web Director).
  • Keeps the commercial loan vault organized / maintains retention records for department.
  • Orders office supplies.
  • Mails notices/statements for commercial loans, as needed.
  • Prepares and monitors various reports.
  • Answers department calls, assisting customers and/or directing to the appropriate department/individual(s).
  • Maintains courteous and effective communication with internal and external customers.
  • Maintains confidentiality, ensuring client privacy.

Skills and Abilities Required to Perform Essential Job Functions:
  • Proficient in Microsoft Word and Excel
  • Strong internal and external customer service focus.
  • Excellent interpersonal, written, and verbal communication skills.
  • Advanced organizational and time management skills.
  • Must be self-reliant and self-directed enough to take independent action and make recommendations to loan officers and management.
Education, Experience and Qualifications:
  • High School Diploma or equivalent required.
  • 1-3 years of administrative experience required.
  • Previous banking experience preferred.
  • Commercial Loan Experience preferred.
  • Finastra LaserPro or documentation system experience is a plus.
Physical Requirements of Essential Job Functions: The associate is frequently required to sit and/or stand, communicate, reach, and manipulate objects, tools or controls that are typical of an office/bank environment. Lifting items weighting up to 10 pounds on a consistent basis. Manual dexterity and coordination are required over 80% of the work period while operating equipment such as computers, phones, calculators, etc. Working Conditions:
  • Typical office environment.
  • Extended viewing of computer screens.
  • Periodic travel between locations.
