Job Description - Office Manager

JOB TITLE: Office Manager

JOB TYPE: FLSA Exempt

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Greet office visitors
  • Answer and direct inbound phone calls
  • Sort and scan daily mail; Track checks received
  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Coordinate technology requests for client meetings; Schedule in Office Space App
  • Coordinate Carrier Meetings
  • Coordinate trainings; Lunch and Learns
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with colleagues and carriers
  • Prepare internal and external corporate documents for team members and industry partners; ie Town Halls, office announcements, etc…
  • Distribute time sensitive communication materials to appropriate parties
  • Order office supplies and maintain inventory
  • Coordinate with facilities and vendors
  • Maintain office org chart
  • Be a culture ambassador for colleagues; work with spirit committee on office events
  • Support CEO of Louisiana Companies and Querbes & Nelson
  • Prepare and submit expense reports for CEO
  • Coordinate travel for CEO
  • Schedule meetings and appointments as needed for CEO
  • Maintain an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality
  • Provide exceptional customer service and assist colleagues and clients whenever necessary

REQUIREMENTS:

  • Must be highly organized and able to work independently
  • Must be detail-oriented and very efficient
  • Must be flexible and have a great attitude
  • Must have the ability to manage multiple projects and priorities in a fast-paced environment
  • Must have excellent verbal and written communication skills
  • Must be proficient in Word, Excel and PowerPoint
