Job Description - Sr. Manager, Project Management Office

Position Summary
This position is responsible for managing all IT Project Managers, assigning projects and monitoring progress on all projects assigned to PMO team members. This position will identify new candidates to fill open Project Manager positions and conduct yearly assessments of each Project Manager. This position is also responsible for reporting status of all IT applications development projects to upper level management. This position will be a member of the IT PMO organization and reports to the IT PMO Director or the Vice President of IT. The primary duty is to manage the Project Manager team members and may also serve as the direct Project Manager on projects as needed.

Essential Tasks
  • Oversee the overall planning, direction, execution, control and completion of assigned projects.
  • Provide leadership to other project managers and business analysts
  • Help define each project's scope, goals and deliverables.
  • Coordinate and manage the project lifecycle and software development lifecycle for those projects.
  • Develop detailed work plans, including work breakdown structures, project milestones, risk assessment / management plans, staffing needs and project timelines.
  • Identify, schedule and assign project activities, tasks and milestones.
  • Actively monitor, track and manage project tasks, timelines, attainment of milestones and overall quality of project activities and deliverables.
  • Ensure project delivery framework tasks, activities and deliverables are represented and accounted for in project plans and timelines.
  • Provide direction and support to team members.
  • Manage communications with the team, as well as stakeholders and business and IT management.
  • Communicate team responsibilities, target dates, project status and resource needs.
  • Establish and provide weekly status and project updates.
  • Work closely with business analysts to define and refine project scope, business and functional requirements.
  • Implement and facilitate change management within assigned projects.
  • Drive decision-making as it relates to project activities.
  • Identify, document, escalate and address risks and issues.
Responsibilities
  • Manages and monitors project budgets and expenditures simultaneously.
  • Monitors project resources for progress and productivity. Escalates concerns as appropriate.
  • Gathers project updates and produces progress reports as required.
  • Follows up on issues or concerns from Project Managers, Stakeholders and Fleetpride Executive team.
  • Ensures stakeholders and the executive team stays informed of all project progress and deadlines.
  • Works with Project Managers and teams to plan, prepare, and coordinate installs for project implementation, updates, upgrades and patches.
  • Works with asset management to ensure all project costs are documented and budget analysis reports are generated for each project.
  • Coordinates meetings with the PMO team members as needed.
  • Works with Project Managers to coordinate documentation of project requirements and milestones.
  • Establish and maintain a thorough knowledge of the organization and technology standards.
  • Responsible for communicating, promoting and adhering to IT standards.

  • Keyboarding skills and computer proficiency with software knowledge to include MS Office.

  • Able to maintain confidentiality of information and systems.
  • Must be able to lift up to 25 pounds. (See Physical Demands)
  • Must be regularly available and willing to work at least 8 hours per day, five days per week, or such other hours per day or hours per week as we determine are necessary or desirable to meet business needs
  • Must be available and willing to work such weekends and holidays as we determine are necessary or desirable to meet business needs
  • Will be required to carry a cell phone at all times and expected to respond to urgent calls in a timely manner.
  • Able to execute on other duties as assigned.

  • Reaching above shoulder heights, below the waist or lifting as required to file documents or store materials throughout the workday.

  • The ability to work through stressful situations with either a co-worker or a customer
  • May require overtime or weekend work.
  • Much of the work shift is spent viewing a computer monitor and using a keyboard while entering or reviewing data.
Environmental/Atmospheric Conditions
The primary environment is characterized by ambient room temperatures, lighting and traditional office equipment found in a typical office environment.
Minimum Qualifications
  • A background in applications development is preferred and five or more years of experience managing complex projects.
  • 15+ years overall IT experience with extensive hands on experience in project management.
  • 5+ years Team/Department management experience.
  • Experience with both traditional Waterfall software development processes and Agile / Lean methodologies.
  • Experience with Microsoft Project, Office, Windows OS and the Internet.
  • Ability to manage and deliver multiple projects (including governance, BI and infrastructure), activities and tasks under time constraints.
  • Ability to communicate project scope, status and issues with corporate executives and stakeholders.
  • Distribution industry experience is a plus.
  • Experience managing projects with a variety of technologies, platforms and development languages
  • Experience developing and implementing best practices
  • Ability to communicate, influence, mentor and build teamwork that fosters a collaborative and continually improving environment.
  • Critical, analytical thinker. Effective problem-solver.
  • Bachelor's degree in information technology, computer science or related field required.
  • Project management certificate is a plus.
