The Lead Facilities Coordinator responsible for the upkeep of the office space. You will be responsible for coordinating any repairs or scheduled preventative measures to ensure the office is safe. Responsible for managing 2 associates, leadership is a plus.

 

Shift: Monday- Friday

8:30am-5:30pm

Pay: $30 p/h

Full Time (40 hrs)

Job Description:

  • The right hand to the project manager for all moves, construction projects and office upgrades
  • Involved in strategic and project planning for future building space
  • Support short- and long-term projects – on going restacking – managing and updating floor plans.
  • Inspect building conditions, grounds, equipment and make recommendations for repairs and improvements daily.
  • Respond to HVAC Alarms, appliance malfunctions, plumbing problems and report abnormal conditions to appropriate parties.
  • Maintain COI records for all vendors and submit to building for clearance.
  • Request freight scheduling for deliveries.
  • Meet with vendors on a regular basis to address issues, special request and manage equipment preventive maintenance schedules.
  • Coordinate and manage exterminating and maintenance schedules.
  • Work closely with building management, engineers and security.
  • Assist with fire drills and coordinate with building for tenant evacuation.
  • Liaison between company employees and outside contractors called for repairs.
  • Manage work tickets for assigned client base.
  • Maintain, order and install locks and keys for furniture and offices.
  • Assist with various other administrative duties as needed.
  • Work closely with the administrative and mailroom staff.
  • Coordinate housekeeping maintenance teams as needed.

 

Job Skills:

  • Must have excellent communication skills, articulate, patience, be able to explain concerns and/or issues in a professional manner.
  • Ability to work in a team environment as well as work independently without regular direct supervision
  • Able to build strong internal and external relationships using effective verbal and written communication skills
  • Recognize and act on opportunities; adjust direction when situations warrant
  • Strong follow-up skills managing actions based on various team projects
  • Excellent organizational skills to manage multiple projects simultaneously
  • Ability to perform and manage complex technical projects using independent judgment and personal initiative

 

Qualifications:

  • Previous facilities and project management experience a Must but not mandatory
  • Strong MS office suite
  • High school diploma or equivalent, college degree preferred
  • Works well in a fast-paced environment
  • Good listening and professional demeanor
  • Must be able to navigate clients of every professional level
