Job Description - Member Services Intern

Job Title: Member Services Intern

Reporting Relationship: Director of Member Relations

Office Location: Topeka, KS

Office Hours: Monday - Thursday, 7:00 a.m. - 5:30 p.m.

Work Schedule: Flexible, not to exceed 1,000 hours

Hourly Wage: $15.00

Who We Are:

FreeState is the largest rural electric cooperative in Eastern Kansas, with more than 15,000 member-owners. It functions as a democratic, not-for-profit organization. We are controlled by our members who actively participate in setting cooperative policy and making decisions in the best interest of the cooperative. Unlike investor-owned utilities, our profits are returned to our members as capital credits.

FreeState is seeking a Member Services Intern for the summer with the potential to continue through the 2024/25 school year.

Primary Accountability:

The Member Services Intern will be responsible for assisting the Sr. Member Services Representative with administering tax exemption forms, auditing tax exemption certificates, coordinating certificate corrections with members, and filing exemption certificates, accordingly. Additionally, the Member Services Intern will review, scan, and upload various documents to DocVault including capital credit, bankruptcy, and collections paperwork.

Essential Duties:

  • Promptly greets and assists Cooperative members and visitors.
  • Processes and posts member account payments through cash drawer.
  • Assists the Sr. Member Services Representative with administering, auditing, correcting, and filing ST-28, ST-28B, and other tax exemption forms for applicable members.
  • Partners with FreeState's Energy Use Coordinator for a key account initiative involving tribal tax exemption.
  • Reviews, scans, and uploads various documents to DocVault including capital credit, bankruptcy, and collections paperwork.
  • Ensures that documents are stored, transmitted, and disposed of in a secure and appropriate manner, using encryption, shredding, or other methods as needed.
  • Processes returned mail from the post office.
  • Delivers mail internally to appropriate personnel.
  • Other duties, as assigned.

Qualifications:

  • Must possess and maintain a valid driver's license.
  • Knowledge and experience working with standard office equipment including computers (10-key and keyboard), copiers, printers, and scanners.
  • Intermediate knowledge and experience with Microsoft Office Suite (Word, Excel, Outlook, Power Point, etc.).
  • Ability to maintain confidentiality with documents by following the company's policies and procedures, as well as applicable laws and regulations.
  • Demonstrates effective communication to provide proactive customer service and follow-up skills while maintaining a professional relationship with members and staff.
  • Ability to exercise good judgment with a strong attention to detail.

Physical Demands:

  • Consistently sits for extended periods of time. Occasionally stands, walks, bends, stoops, squats, lifts, unpacks, and moves up to fifty (50) pounds.
  • Ability to perform finger and hand manipulation and perform repetitive motions to use a computer keyboard and telephone, as well as other office equipment.
    • Ability to read computer screens, mail and talk on the phone.

Work Environment:

  • Professional and deadline-oriented office environment.
  • Regular and reliable on-site attendance is required .
  • Interaction with staff, vendors, and members.
