Job Description - Office Administrator Intern

We are currently seeking a motivated Office Administrator Intern to join our team. This internship opportunity will provide valuable hands-on experience in administrative tasks and office management with a focus on supporting the Human Resources, Procurement, Commercial, and Finance departments.

  • Assist in managing daily administrative tasks for the Human Resources, Procurement, Commercial, and Finance departments, including data entry, filing, and document management.
  • Support the departments in coordinating and scheduling appointments, meetings, and travel arrangements for team members.
  • Assist in organizing and maintaining electronic and physical files and records specific to each department.
  • Handle incoming and outgoing correspondence, including phone calls, emails, and mail, for the respective departments.
  • Collaborate with team members in the Human Resources, Procurement, Commercial, and Finance departments to ensure efficient workflow and effective communication within the office.
  • Assist in preparing reports, presentations, and other documents as required by the departments.
  • Support the departments in various administrative tasks, such as processing invoices, maintaining vendor files, and assisting with financial data entry.
  • Maintain a professional and welcoming office environment for staff and visitors in the respective departments.

 

This salary range and is influenced by the level of experience. When calculating the base pay, we take into account various factors such as location, qualifications, training, and experience as part of the overall compensation package.

  • Currently pursuing a degree in Business Administration, Office Management, Human Resources, Finance, or a related field.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Strong problem-solving skills and ability to work independently and as part of a team.
  • Professional and friendly demeanor with a customer-service mindset.
  • Flexibility to adapt to changing priorities and deadlines.

 

Intellectual/Social demands:

While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits. Position requires constant attention to precise details and accuracy of specified standards including following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time. This position also requires constant attendance and punctuality - Is consistently at work and on time. Follows instructions, responds to management direction; Takes responsibility for own actions; Completes tasks on time or notifies appropriate person with an alternate plan. Meets productivity standards; Completes work in timely manner; Strives to increase productivity; Works quickly. 

 

Physical demands:

While performing the duties of this job, the employee is regularly required to stand, walk; reach with hands and arms and stoop, kneel, or crouch. The employee must regularly lift and /or move up to 30 pounds. Safety and Security - Observes safety and security procedures; Reports potentially unsafe conditions; Use equipment and materials properly.

 

Work environment:

The essential functions of this position are performed indoors. The noise level in the work environment can range from minimal to loud.
