Descripción del trabajo - Purchasing Services Specialist

Administers procurement card (or similar) program for Cabot established to simplify purchase of items of small monetary value. Monitors card use activity and ensures compliance with policies and procedures.

  • Performs daily maintenance of procurement cards. Processes card requests, activates new card holders; deletes cards and assists card holders. Provides general information as requested.
  • Monitors spending on a regular basis for waste, fraud or abuse. Investigates and resolves inappropriate charges. Follows up with card holders on the prompt review of spending statements in preparation for monthly payment by Accounts Payable.
  • Maintains card database; adds and deletes entries to the system. Ensures entries are appropriate and supported. Generates weekly, monthly and quarterly summary and exception reports.
  • Reports on spending and transaction activities; approval status, etc. Reviews and analyzes statements showing rebates, discounts and actual cash based on payment terms.
  • Liaisons with bank representatives during card set up phase in order to establish agreement, spending limits, types of approved purchases, billing arrangements and other related details.
  • Makes recommendations regarding changes in procedures.
  • Provides training to new card holders as appropriate. Works with Director to develop and implement communication programs to promote use and explain benefits of procurement cards.
  • Assists with other projects related to the Purchasing function.
  • Knowledge of corporate card administration processes and procedures. Basic understanding of accounting and particularly accounts payable area.
  • Ability to follow up and pay close attention to details.
  • Excellent communication skills in order to exchange information with banks, card holders and others within the company.
  • Inter-personal and customer service skills in order to assist and influence others.
  • Some post-secondary education and Purchasing Card Certification desired.
  • 3+ years related to procurement card administration required.
