As a Claims Processing Officer, you will play a vital role in assisting Australian veterans with preparing and representing claims against the Department of Veterans Affairs for injuries attributed to their service in the Australian Defence Force. Your will assist veterans and our case management team to ensure that our clients receive the professional representation they deserve throughout the claims process, mitigating unfavorable outcomes and increasing the likelihood of fair compensation.

Key Responsibilities:

  • Client Onboarding: Manage the initial intake of clients, ensuring a smooth and welcoming entry into the service by gathering and verifying all necessary documentation.
  • Documentation Verification: Check the accuracy and completeness of all documents submitted by clients, ensuring they meet required standards for claims processing.
  • Claims Submission: Prepare and submit claims to the Department of Veterans Affairs or other relevant bodies, ensuring completeness, accuracy, and timely submission.
  • Client Communication: Act as the primary point of contact for new clients, providing clear and detailed information about AVAC Services’ processes and answering queries regarding cases or services offered.
  • Respond to Enquiries: Handle client communications, providing prompt and professional responses to inquiries about services, status updates, and general information.
  • Collaboration with Marketing: Work closely with the Marketing and Events Officer to enhance client engagement through effective marketing strategies aligned with client onboarding and retention goals.
  • Record Keeping: Maintain accurate and up-to-date records of client interactions, claims status, and communication, ensuring confidentiality and compliance with privacy laws.
  • Claims Processing: Assist the case management team with processing claims for incapacity payments and household services, verifying eligibility and entitlement based on medical certificates and other documentation.
  • Shared Inbox Management: Monitor and manage the shared inbox for client enquiries and correspondence, prioritising and assigning emails to appropriate case managers, and responding to urgent or general enquiries within agreed timeframes.
  • General Office Duties: Perform general office duties such as filing, scanning, copying, and mailing, maintain office supplies and equipment, assist with data entry, reporting, and invoicing, and support the team with administrative tasks as needed.

Background and Experience:

  • Customer Service: Strong background in customer service or client-facing roles, with experience in managing client interactions, addressing inquiries, and providing excellent service.
  • Administrative Skills: Proficiency in administrative tasks such as documentation management, record-keeping, and office duties, with attention to detail and accuracy.
  • Communication Skills: Excellent communication skills, both verbal and written, with the ability to communicate effectively with clients, colleagues, and stakeholders.
  • Organisational Skills: Strong organisational skills with the ability to prioritise tasks, manage time effectively, and handle multiple responsibilities concurrently.
  • Attention to Detail: Keen attention to detail and accuracy, particularly in verifying documentation and maintaining records.
  • Teamwork: Ability to work collaboratively within a team environment, supporting colleagues and contributing to the overall success of the organisation.
  • Problem-Solving: Strong problem-solving skills with the ability to identify issues, propose solutions, and implement improvements to processes.
  • Experience in Claims Processing: Preferred experience in claims processing or a similar field, with knowledge of relevant regulations, procedures, and documentation requirements.
  • Familiarity with Veterans Affairs: Familiarity with the Department of Veterans Affairs or similar government agencies and their processes is advantageous.
  • Computer Literacy: Proficiency in using computer applications such as Microsoft Office suite and email, with the ability to learn and adapt to new software systems as needed.

Work Hours:

Tuesday to Thursday: 9:00 AM - 3:00 PM
