Perspective Financial Services is a boutique financial planning firm located in Melbourne. We specialise in providing personalised financial advice and solutions to high-net-worth clients, in particular, families wishing to address complex matters relating to intergenerational wealth management.
Job Description
We are seeking a part-time Administrative Specialist to join our team at Perspective Financial Services. This role will play a crucial part in supporting the day-to-day administrative operations of our firm including client interaction. The ideal candidate will be organised, detail-oriented, self-motivated and possess excellent communication skills.
Responsibilities include
1. Ensuring timely communication with clients and all stakeholders.
2. Schedule client meetings and prepare for reviews.
3. Creating client profiles in CRM and updating accordingly.
4. Support the implementation process of financial plans, including document management and coordination with third-party providers.
5. Maintain accuracy in client policy information.
6. Assist with claims and policy amendments.
7. Liaise with Government organisations.
8. Update procedures and workflows.
9. Preparing annual advice agreements, generating invoices and processing payments
10. Updating licencee documents and internal templates maintaining accuracy and compliance.
11. Handle adhoc administrative tasks for both Perspective and clients, such as maintaining registers, preparing for EOFY, and managing quarterly reports.
12. Collaborate with team members to assign and coordinate tasks, ensuring efficient completion of projects and client requests.
13. Coordinate with other professionals as required.
Requirements
· Proven experience in an administrative role, preferably within the financial services industry.
· Strong organisational skills with the ability to manage multiple tasks and prioritise effectively.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM systems (e.g., Salesforce).
· Knowledge of Xplan, Worksorted, Monday and Wrap facilities is a plus but not required.
· Attention to detail and a high level of accuracy in data entry and record-keeping.
· Ability to work independently and as part of a team in a fast-paced environment.
· Knowledge of financial planning concepts and terminology is a plus but not required.
