Job Description - Administrator

C Realty is a dynamic and growing real estate agency dedicated to providing exceptional service to our clients. Our team is committed to excellence, innovation, and integrity in all aspects of our work. We are seeking a highly organised individual to join us as a Real Estate Administrative Assistant.

Job Description: As a Real Estate Administrative Assistant at C Realty, you will play a crucial role in supporting our operations by efficiently managing administrative tasks and facilitating smooth communication between our team, vendors, buyers, clients, and director. This position offers the opportunity to work in a fast-paced, high-volume environment alongside our top agent. Also supported by our Operations manager.

Responsibilities:

  • Client Communication: Serve as a primary point of contact for clients, responding promptly to inquiries via phone, email, and in-person meetings.
  • Documentation Management: Maintain accurate and organised client files, contracts, and other essential documents in compliance with company policies and legal regulations.
  • Transaction Coordination: Assist in coordinating real estate transactions, including scheduling appointments, arranging property viewings, and preparing necessary marketing, promotional material, handouts and paperwork.
  • Administrative Support: Provide administrative assistance to the assigned agent, including managing calendars, scheduling appointments, and coordinating travel arrangements.
  • Client Relationship Management: Cultivate positive relationships with clients and partners, ensuring a seamless and enjoyable experience throughout the real estate process.
  • Data Entry and Record Keeping: Accurately enter data into the company's database systems and update records as needed to ensure information integrity.
  • Office Organisation: Maintain a clean and organised office environment, including ordering supplies and managing office equipment as necessary.

Qualifications:

  • Previous experience in administration is essential.
  • Previous experience in real estate administration or a similar role is preferred.
  • Strong organisational and time management skills, with the ability to multitask and prioritise tasks effectively in a fast-paced environment.
  • Excellent communication skills, both written and verbal, with a professional and friendly demeanor.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Detail-oriented mindset with a commitment to accuracy and precision in all work tasks.
  • Ability to multitask is essential.
  • Work collaboratively as part of a team while also capable of working independently with minimal supervision.
  • Flexibility to adapt to changing priorities and handle occasional weekend work if required.
