Job Description - Executive Assistant

Executive Assistant-Kimberley Region-Remote Western Australia

Executive Assistant-Kimberley Region-Remote Western Australia LOCATED IN THE KIMBERLEY REGION OF REMOTE WESTERN AUSTRALIA - LIVE IN ROLE - RELOCATION IS REQUIRED

We are seeking an experienced Executive Assistant for this busy company located in the spectacular Kimberley Region of remote Western Australia. The focus of the role of Group Executive Assistant Officer covers a range of duties including in-house support to the Chief Operations Officer (COO), Managing Director, management support to senior staff, records, resources and assets within the company, development of policy and procedure documents, HR recruitment support, performance management record keeping for the COO, and organising professional development training and support for management and staff as directed. As the role is based in the amazing Kimberley Region, there are spectacular sights to visit on your days off, such as gorges, canyons and caves. This role is based in the company's main office.



Immediate Start-Minimum 12 Month Commitment



Package:



  • Salary: $70,000-$75,000 Neg
  • Discounted Accommodation & Meals
KEY RESPONSIBILITIES:
  1. Assist to the COO with Administration duties which includes records of accounts and Management team meetings and processes. This includes:
  • Preparation of materials for board meetings
  • Create documents and spreadsheets
  • Answering phone calls, emails and online inquiries for the group
  • Minute/note taking of meetings as required
  • Schedule meetings and appointments for the Executive and Management team including diary management
  • Assist with travel & accommodation arrangements for the executive team
  • Processing Visa/Immigration forms, including following up with staff re forms required
  • Manage Social media for all businesses as required.
  1. Work with COO and Management to review and develop Policy and Procedure documents.
  2. Assist the COO and Management to prepare for staff performance management reports consistent with Contracts and performance expectations.
  3. Provide feedback to staff on Management Team decisions and other organisation matters as appropriate and directed by the COO.
  4. Assist with staff problem solving and contribute to the maintenance of a harmonious and positive workplace.
  5. Maintain a high level of knowledge of the company’s activities, priorities and concerns.
  6. Provide administration support to the Managing Director and Chief Operating officer
  7. Oversee day to day office activities
  8. Undertake general applications, licencing permit applications
  9. Maintain filing procedures
  10. Other duties as required
SELECTION CRITERIA

  1. Degree in business administration and/or relevant office management and administrative experience;
  2. Demonstrated ability to maintain strict confidentiality at all times;
  3. Personal qualities; including a positive outlook, patience, honesty, maturity, confidentiality, flexibility and a high level of personal conduct;
  4. Possess exceptional organisational, planning and time management skills; a proven ability to multitask, set priorities and meet objectives;
  5. Proactive approach with high level administrative and customer service skills;
  6. Good supervision, problem solving, conflict resolution and team building skills;
  7. Sound computer skills with proven experience in Microsoft Office software packages including Word, Outlook, and Excel;
  8. Demonstrated ability to develop, implement and promote effective HR initiatives and on-the-job training across the organisation and the provision of services to management;
  9. Strong desire to succeed in this position and a commitment to assisting the organisation achieve its goals.
  10. Possess high level communication and interpersonal skills to deal with a range of staff and their needs, including sound interpretive and research skills;
Desirable:
  1. Relevant financial qualifications and/or experience;
  2. Experience with Financial Package systems such as Xero;
  3. Prior experience with remote living, and/or living within a small community
  4. Basic knowledge and understanding of Aboriginal history, culture and contemporary Aboriginal political, social and economic issues.
  5. Knowledge of and commitment to the principles of best practice in the area of management, employment, training and enterprise development.
