Job Description - Executive Assistant & Office Manager

We have an exciting opportunity for an Executive Assistant to support our Executive Director and further support a growing team in our growing Adelaide office. This role is an in-person role based in our brand-new CBD office.

We are a busy professional services firm working in the construction & infrastructure industry, you will be working in a true partnership with the Executive Director of SA, that promotes honest and open communication and feedback, collaboration across all levels, and is driven to make our business a great and fun place to work that will lean on your expertise and organisational skills.

You will be able to take control of all executive support and administrative tasks. You will be an extension of the Executive Director's brand and take pride in everything that you do, including the work you deliver, your ability to engage with people and your presentation.

  • Provide exemplary support to the Executive Director including scheduling meetings, inbox management and action management.
  • Prepare, collate and issue correspondence and reports.
  • Manage travel and accommodation bookings for the Executive Director and the office.
  • Coordinate events and business development functions for the office.
  • Assist the managers in monthly invoicing.
  • Manage the office, including how it is presented.
  • Along with some general office administration and phone management

About you

To be successful in this role you will need to have experience in administration and assisting senior leaders preferably in a professional services environment. You will:

  • Ideally a minimum of 4 years of relevant experience
  • Had experience in the construction or infrastructure industry would be highly regarded.
  • Experience managing diary, travel bookings and event management
  • Be a confident communicator both verbally and written.
  • Handle confidential information with discretion.
  • Have a positive, ‘can do’ attitude.
  • Have valid Australian Working Rights
  • Be prepared to take responsibility for the presentation of the office including emptying the dishwasher and prepping the office for meetings.
