This is a fantastic opportunity for a part time Business Admin with a focus on Office Management and events.
The role is based in South Melbourne and we can offer flexible hours / days for the right candidate.
The core responsibilities are:
Business Administration:
- Support core business meetings and communications
- Support HR activities as needed – ie HRIS management
- Support financial reporting monthly (ie. Uber usage)
- Travel vendor relationship
- Support travel requirements (leveraging current vendors)
- Document formatting with business templates
- Arrange events to take place inside and outside of the workplace
Office Support:
- Engage with landlords for office based requirements (relating to lease) and escalate needed
- Own vendor relationships for all office supplies and support
- Ownership of all office-based activities to keep an office running (leverage site based support)
- Support set up/lay-out of office space for employees (current and new)
- Support contract and price negotiations with office vendors, service providers and office lease
- Support internal IT on office and IT equipment – as needed
- Address employee queries around office management issues
- Occupational Health and Safety – ensuring we have WHS audits completed, and have the right level of WHS, First Aid and Warden representatives.
- We have location based office support in our NSW and QLD offices, but this role will act as the central point of contact.
Fleet Management:
- Track (via register) and manage fleet to ensure they are safe and functional for employees that are using them.
- Own the vendor relationships associated with fleet management
- Manage fuel cards, servicing, maintenance, repairs, licensing etc.
Ad Hoc EA support:
- Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
- Prepare internal and external corporate documents required by the Managing Director
- Schedule meetings and appointments (take ownership of Executive diaries)
- Uphold a strict level of confidentiality
- Support board requirements (monthly board meetings and reports)
- Support other C-Suite executives as required
This role has a lot of variety and challenges, but can be easily completed in a part time capacity (circa 25-30 hours a week).
