Job Description - Operations Coordinator

The Role

Based in our Melbourne office, you will be providing support to our National Account Managers. This includes:

  • Managing schedules: This includes scheduling meetings, events , and coordinating with other team members or external parties.
  • Screening calls and emails: Screen and prioritise incoming calls and emails, handling routine inquiries and forwarding important messages.
  • Preparing documents and presentations: You will assist in creating, formatting, and proofreading documents, monthly and complex quarterly reports, presentations, and other materials. As well as sending out regular reports
  • Handling administrative tasks: This includes tasks such as filing documents, managing expenses, processing invoices, and maintaining records.
  • Conducting research: You may be asked to conduct research on various topics, gather data, and prepare summaries or reports.
  • Providing support during meetings: You will attend meetings with the team, take notes, and follow up on action items.
  • Provide project assistance: Assisting the team in managing proactive programs by tracking progress, coordinating tasks, and ensuring deadlines are met.
  • Providing general support: Provide general administrative support, with a keen eye for detail. Including uploading reimbursements.

About You

  • Minimum 2 years experience in an administration role
  • Wanting career progression in a values driven business
  • Flexible, adaptable and open to learn
  • Ability to shape and make a new role their own
  • High level communication skills and attention to detail
  • High level of competence with Microsoft Office
  • Ability to manage and prioritise competing demands
