Job Description - Personal Assistants and Executive Assistants

Key Skills to be considered for the position:

Personal Assistants:

  • Manage daily schedules: Organize and maintain daily calendars, arrange meetings, and schedule appointments.
  • Coordinate travel: Plan and book travel arrangements, including flights, accommodations, and itineraries.
  • Communication: Handle phone calls, emails, and correspondence on behalf of the executive.
  • Task management: Assist with personal tasks, errands, and other duties as required.
  • Confidentiality: Maintain discretion and confidentiality in all matters.

Executive Assistants:

  • Strategic support: Provide high-level administrative support to executives, including preparing reports, presentations, and briefs.
  • Meeting coordination: Schedule and organize executive meetings, prepare agendas, and take minutes.
  • Project management: Assist in the planning and execution of projects, track progress, and ensure deadlines are met.
  • Liaison role: Act as a point of contact between executives, internal teams, and external stakeholders.
  • Office management: Oversee office operations, manage resources, and ensure efficient workflow.

Requirements:

  • Experience: Proven experience as a Personal Assistant or Executive Assistant, with a track record of supporting senior management.
  • Technical skills: Proficiency in MS Office and relevant administrative software.
  • Communication: Excellent written and verbal communication skills, with the ability to interact professionally at all levels.
  • Organizational skills: Strong organizational and time-management abilities, with a keen attention to detail.
  • Multitasking: Ability to handle multiple tasks simultaneously and prioritize effectively.
