Job Description - Executive Assistant

Executive Assistant to the CEO Gippsland PHN location Mornington Peninsula and Bass Coast.

Who we are Gippsland PHN is a not for profit charity that works at a regional level to achieve improved whole of system health care. Our vision is for a Measurably Healthier Gippsland. We work closely with the primary health care system, identifying opportunities to improve health outcomes in Gippsland communities. We do this through health system improvement programs, and by commissioning services to address local health needs via our regional commissioning role.

We aim to ensure health issues are prioritised, understood and invested in; using local strengths. Build and support local capability in primary health care professionals. Enable transparent communication and information exchange across the primary health care sector; and improve access in primary health services particularly for those at risk of poor health outcomes, and where gaps exist in hard to reach locations.

Who we are looking for Executive Assistant to the CEO. Do you have Executive Assistant experience with a high level of interpersonal skills.

We currently have a full time career opportunity available as the Executive Assistant to the CEO. This role supports the efficient and effective functioning of the CEO’s office and ensures the coordination of a wide range of key Executive Office duties. It is a highly professional liaison role, providing direct support to the Board of Directors and Executive Management.

The Executive Assistant also supports the development and maintenance of professional, productive relationships through responsive and proactive interaction and engagement with internal and external stakeholders on behalf of the CEO.

We are looking for an astute, agile, dynamic, outcomes focused team member. Use your skills to complete work packages including but not limited to coordinate the Chief Executive Officer’s calendar, including sending meeting requests, preparing agendas and background information. Prepare correspondence, reports and documentation on behalf of the CEO. Manage and process electronic and hard copy written communications within organisational guidelines.

Provide support to the Company Secretary to ensure governance requirements are met. Manage the administration of all Board meetings, including preparation of agendas and relevant reports. Record and circulate the minutes of meetings such as the Gippsland PHN Board and Sub Committees (Director Independent Selection and Recruitment Committee and CEO Performance and Remuneration Committee).

Manage the information within the Board portal, ensuring it is relevant and up to date. Provide a highly professional, courteous and responsive approach internally and externally at all times. Ensure compliance with relevant policies and procedures regarding Board and Committee matters, including maintaining the conflict-of-interest register. Support the Company Secretary in coordinating the annual Director appointment and election process.

With assistance from the Company Secretary, coordinate the Annual General Meeting, ensuring all legislative requirements are met. Assist in and/or undertake projects or events to assist the Board, CEO and Executive Team. Arrange travel and accommodation for the CEO and Board.

Provide a highly professional, courteous and responsive approach internally and externally at all times. Ensure compliance with relevant policies and procedures regarding Board and Committee matters, including advance distribution of materials before meetings in electronic format and Provide considered advice to the Executive Team and CEO; ensuring strategic and operational risks, challenges, opportunities and key issues are identified.
