The Opportunity:

We are seeking an experienced and reliable Administration Support Officer to join our team, based at our office in Beresfield.

Providing confidential administrative support across areas such as marketing, tenders, travel bookings, health and safety documentation, meetings and minutes, office processes, digital record keeping and general office administration.

This is a fast-paced role in a dynamic environment, where no two days are the same and provides an essential service to the group.

Key Duties:

  • Operate as an effective member of the Beresfield Office team.
  • Ensure that you are ‘Setting the standard’ and complying with company policies and procedures.
  • Schedule, facilitate and coordinate allocated meetings, develop meeting minutes and actions when required.
  • Assist to prepare marketing material including but not limited to capability statements, project profiles, website updates, newsletters, presentations etc.
  • Provide administrative support for the preparation of tenders, including prequalification’s, portal updates, classifications etc.
  • Provide administrative support to the Construction NSW team to document health and safety policies and procedures including management plans.
  • Manage and book travel arrangements in accordance with company policy.
  • Update and store digital records in folder structures, including archiving.
  • Assist to manage and document office processes.
  • Manage database of employee and contractor licences, ensuring compliance.
  • Provide general office administration including but not limited to developing presentations, phone screening, assisting with mail, conference room set up and catering, running errands etc.
  • Other duties as directed from time to time within the area of expertise.

About You:

The successful candidate will demonstrate high-level customer service skills and have previous experience working in an administration support role (experience in the building/construction industry will be highly regarded).

With multiple projects on the go at any one time, you will thrive working in a fast-paced environment, with excellent attention to detail and be adept at managing multiple competing demands.

You will be a strong communicator, both written and verbal and have the people skills required to build positive relationships with stakeholders at all levels.

Working closely with management, our construction team, sub-contractors and clients, you will be an effective collaborator.

Essential Requirements:

  • Minimum 3 years of administration experience.
  • Cert III in Business Administration or equivalent.
  • Experience utilising software databases for keeping records and reporting.
  • Proficiency with Microsoft Office.
