Job Description - Events Coordinator

The Australian Institute of Music (AIM) is seeking an enthusiastic Events Coordinator to join our team on a permanent part-time basis. This role will be responsible for planning, coordinating and evaluating events held at AIM’s Sydney campus.

As Events Coordinator at the Australian Institute of Music, you will be the focal point for planning and managing future and current student, and partner events at our Sydney campus. From liaising with internal teams and external partners, to managing inquiries and budgets, your role ensures every detail is meticulously attended to. With a keen eye for detail, great communication and exceptional problem-solving skills, you’ll ensure all AIM events run smoothly.

Your responsibilities include, but are not limited to:

• Acting as the main point of contact for events among AIM Sydney staff and external clients

• Support the planning and coordination of events, including student Open Days, performances, networking events, talks and seminars

• Preparing run-sheets, conducting pre-event briefings and post-event debriefings

• Conducting venue tours and site inspections for prospective event partners

• Managing costs and tracking against event budgets

• Coordinating with the sound, production and facilities teams to manage the setup and operational requirements for events as needed

• Working closely with appropriate AIM staff to promote events as needed.

• Working collaboratively with external service providers including caterers

• Keeping up to date with pricing of similar venues to ensure AIM offers competitive rates

Experience and Attributes:

• Diploma or equivalent work experience in Event Management

• Working With Children Check, or willingness to obtain

• Experience in event planning, management and delivery

• Experience providing a high level of customer service and client engagement

• Strong administration and organisational skills

• High level of communication skills, including the ability to liaise, consult and negotiate

• Ability to work as a member of a team in the achievement of goals

Desirable:

• First Aid Certificate

• Familiarity with the music and entertainment management industry
