Job Description - Compliance Administrator

The Opportunity

Stanley College is on the hunt for a dynamic Compliance Administrator (PRISMS)! In this pivotal role, you'll take charge of ensuring our College stays ahead of the curve by maintaining impeccable data accuracy in the Provider Registration and International Student Management System (PRISMS). You'll play a key role in upholding the highest standards by ensuring compliance with the Education Services for Overseas Students (ESOS) Act and Tuition Protection Service (TPS) requirements.

What will you do?!

Develop and enhance operational and monitoring processes to ensure ongoing adherence to legislation, regulations, and best practices related to PRISMS compliance requirements.

PRISMS Compliance:

  • Provide accurate and timely reporting of student data in PRISMS
  • Actively monitor and efficiently manage student visa conditions and enrolment statuses in PRISMS
  • Conduct regular audits of PRISMS entries to ensure compliance with ESOS Act requirements

TPS Requirements:

  • Coordinate and ensure the College’s compliance with TPS requirements, managing tuition fee protection and student refunds.
  • Implement and maintain systems to track and report on TPS obligations effectively.
  • Liaise with TPS administrators and relevant authorities for timely and accurate communication and reporting.

Student Support and Communication

  • Provide timely and effective guidance and support to students regarding visa conditions and enrolment requirements
  • Communicate clearly and effectively with students, staff, and external stakeholders regarding compliance matters

Leadership

  • Ensure the compliance team operates efficiently and effectively
  • Ensure timely completion of compliance actions with effective oversight
  • Ensure that external experts, Course Coordinators, and Faculty Managers complete assigned actions within the given time frames
  • Provide ongoing training and support to ensure staff are up to date with compliance standards and procedures
  • Actively engage in improvement and participation in team initiatives, including weekly team meetings with the Vice President, Corporate Services
  • Identify areas for improvement and implement strategies to enhance compliance processes and systems

Workplace Health and Safety

  • Prioritize Workplace Safety by implementing proactive measures to ensure personal safety and health at work, minimizing risks to oneself and others
  • Promptly report any unsafe conditions or incidents, adhering to workplace health and safety policies and procedures.

Audit and Reporting

  • Prepare and present compliance reports to senior management and regulatory bodies
  • Coordinate and facilitate internal and external audits related to PRISMS and TPS compliance
  • Address audit findings and implement corrective actions to maintain compliance

To be successful in this role, you will have

  • Extensive experience (3+ years) in the use and functionality of PRISMS
  • Experience in overseeing compliance and internal audits
  • Bachelor’s degree in a relevant field (e.g., education, compliance, management).
  • Similar compliance role within the education sector desirable
  • Understanding of Australian Vocational Education and Training (VET) and Higher Education (HE) sector regulations, including Standards for Registered Training Organisations (RTOs), Higher Education Standards Framework (HESF) and the Education Services for Overseas Students (ESOS) Act
  • Familiarity with common policies and procedures, including enrolment, assessment, and compliance requirements
  • Awareness of industry trends and competency-based training principles
  • Excellent customer service and communication skills
  • Strong problem-solving abilities and attention to detail
