Job Description - Executive Assistant To CEO

THE ROLE

As an Executive Assistant to the CEO you are responsible for providing professional and comprehensive support to the CEO and the Board of Directors. It is a dynamic role that requires the ability to work with confidential and time sensitive matters, to anticipate needs and provide professional solutions to problems.

Key Duties and Responsibilities:

  1. Provide professional diary management for the CEO by prioritizing requests and applying sound judgement.
  2. Act as Board Support by arranging and handling all logistics for board meetings (including but not limited: to agenda preparation, minute taking, board platform administration and meeting and events organisation).
  3. Complete a variety of administrative tasks that facilitate the CEO’s ability to effectively lead NTMEC (including but not limited to: special projects, document preparation, travel arrangements, maintaining network of contacts, composing correspondence).
  4. Coordinate all Executive Management Team meetings and correspondence and assist with other staff meetings/events as required.
  5. Serve as the point of contact for internal and external stakeholders on matters concerning the CEO and in particular in relevance to relevant NTG Minister and Department offices.
  6. Support the preparation of Ministerial briefings and manage a timely progress of these with relevant internal and external stakeholders.
  7. Coordinate the facilitation of VIP guests as part of the CEO’s work and NTMEC events.
  8. Support the Corporate Business Team with administrative pertaining governance or human resource management matters.

Selection Criteria:

  1. Proven ability to complete a high-volume of tasks with little or no guidance, whilst applying appropriate level of urgency to situations that require quick response.
  2. Demonstrated ability to apply sound judgement paired with exceptional organisational skills and impeccable attention to detail.
  3. A natural curiosity and the ability to interrogate information and identity problems.
  4. Positive attitude and commitment to NTMEC events and purpose.
  5. Expert Proficiency with Microsoft Office paired with strong verbal and written communication skills and the ability to learn new software applications.
  6. Experience with executive assistance to C-level and Board
  7. Ability and willingness to work outside normal working hours including public holidays and weekends as and when required to support events delivery.
