Job Description - PRODUCTION & BUYING ADMIN ASSISTANT

ABOUT THE ROLE

This is an exciting role within MESHKI’s incredible Production Team. Below is a snapshot of what you’ll be doing:

  • Administration support of the critical path document that is updated weekly to all suppliers
  • Admin support in approving supplier bulk invoices & photoshoot samples
  • Create a great relationship with the warehouse inbound team, and helping to resolve any issues that occur
  • Assistance within managing our labeling orders & development of them.
  • WFX supplier analysis reporting
  • Assisting the buying team with chasing suppliers and resolving issues
  • Assisting the PR and warehouse team to place the consumer orders, and ensure the order will be shipped on time.
  • Create and update the PR style delivery schedule to PR team
  • Update HS codes for the logistics & buying team
  • Chasing and recording the certificate for PO’s made from sustainable fabrics rom the suppliers.
  • Working closely with the buying team: PO admin, chasing of deliveries, changing dates, updating cost prices
  • Liaise and negotiate with suppliers when chasing samples, fabrics, lab dips etc for the team.
  • Use sales reporting to analyse customer trends i.e. likes, dislikes, top sellers etc.
  • Helping within critical path meetings and working closely with the production manager to ensure all dates are updated and new POs sent to suppliers.
  • Provide assistance to the design team i.e. updating range plan, fit slides, sample management in studio, preparation for fit sessions.
  • Support Production Manager when required i.e. liaising with DHL to send out goods to suppliers, checking production emails, barcode checking, sending samples to the Warehouse.
  • Help the buyer ensure other parts of the business (marketing/PR etc) are up to date with what’s going on with new collections and reorders. Managing the company collection overview docs on a weekly basis
  • Raising Purchase orders.
  • Comp shopping.
  • Filing system for fabrics/Lds by collection

WHAT YOU’LL NEED TO BRING

  • Mandarin speaking skills - this will be highly advantageous
  • Outstanding organisational skills
  • The ability to prioritise tasks effectively and demonstrate good time management.
  • Fully competent using Microsoft excel & powerpoint
  • A passion for learning and a proactive mindset.
  • Previous exposure to the retail business is highly desirable
  • Excellent analytical abilities with a keen attention to detail
  • Experience with successfully working with offshore suppliers
  • Ability to work in a fast paced environment often with competing deadlines & priorities
  • Ability to collaborate and work harmoniously with a dynamic and creative team
  • A genuine interest for the brand
