Job Description - Admin Assistant

Overview: As an Administrative Assistant for our tree service business, you will play a vital role in supporting the smooth operation of our company. You will be responsible for various administrative tasks including data entry, managing phone calls and emails, and potentially handling invoicing and payroll duties if experienced. Your attention to detail, organisational skills, and ability to multitask will contribute to the efficiency and success of our operations.

Key Responsibilities:

Data Entry:

  • Accurately enter and maintain records of client information, work orders, and service schedules into the company database or relevant software.
  • Ensure all data is up-to-date, organised, and easily accessible for the team.

Phone and Email Management:

  • Professionally handle incoming phone calls, providing assistance, answering inquiries, and directing calls to the appropriate personnel.
  • Monitor and respond to emails in a timely manner, forwarding important messages to relevant team members as needed.

Invoicing:

  • Generate and send invoices to clients for services rendered, ensuring accuracy in billing details and adherence to company pricing policies.
  • Track payments and follow up on outstanding invoices as necessary.

Payroll (if experienced):

  • Process payroll accurately and on time, adhering to company policies and relevant regulations.
  • Maintain payroll records and address any employee inquiries or concerns related to compensation.

Administrative Support:

  • Assist in general administrative tasks such as filing, scanning, and organising documents.
  • Prepare reports, presentations, and other documents as requested by management.

Qualifications:

  • Proven experience in an administrative role, preferably in a similar industry or environment.
  • Excellent communication skills, both written and verbal.
  • Proficiency in computer applications such as Microsoft Office (Word, Excel, Outlook) and data entry software.
  • Strong organisational skills with the ability to prioritize tasks and manage time effectively.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to work independently with minimal supervision and as part of a team.
  • Experience with invoicing and/or payroll processing is a plus.
