We are searching for an organized, detail-oriented, and motivated individual to join our team as a Part-Time or Full-Time Administration Assistant/ Inspections Manager. This is a fantastic opportunity for someone looking to work in a fast-paced, dynamic environment, and to gain valuable experience in the administrative field.
As an Admin Assistant & Inspections Officer, you will be responsible for supporting the Property Manager in all aspects of property management, including leasing, rent collection, resident relations, maintenance, overdue invoices, answering phone calls, etc.
Responsibilities:
- General office duties including answering phones, scheduling meetings, and maintaining the office calendar.
- Managing correspondence, including emails, letters, packages, and interacting with clients and stakeholders.
- Filing and organizing documents, data entry, and maintaining the office's record systems.
- Assist in managing day-to-day operations of the property
- Communicate with tenants, vendors, and other staff members to ensure smooth operations
- Respond to tenant requests and complaints in a timely and professional manner
- Conduct leasing tours and process rental applications
- Coordinate move-ins and move-outs of tenants
- Conduct Property Condition Reports & Routine Inspections
- Assist in creating and managing property budgets
- Ensure rent is collected on time and manage delinquent accounts
- Oversee property maintenance and repairs
- Providing support to our management team, including preparing reports and presentations.
- Assisting with other day to day administrative tasks as required.
Requirements:
- Minimum 1 year of experience in an administration role
- Strong communication and interpersonal skills
- Excellent organizational and time-management abilities
- Proficiency in Microsoft Office and property management software
- Ability to work independently and as part of a team
