Job Purpose & Scope

This Administrative Assistant position offers diversity with no two days being the same from providing essential administrative support to the executive team to assisting with a range of tasks across the support teams.  The role is integral to the smooth functioning of the office and interface to operations. 

Responsibilities such as travel arrangements, booking meetings, minute taking, organising and coordinating events, diary management, scheduling personal appointments, performing errands, document management and formatting, ordering office supplies and other ad hoc business tasks will all be part of the role. By delivering your duties with professionalism, efficiency, and discretion, you contribute to the overall effectiveness and success of the organisation. 

Key Responsibilities

  • Provide comprehensive administrative support to various departments and executives within Head Office
  • Coordinate travel arrangements including flights, accommodation, and transport
  • Manage office services and supplies inventory and place orders as needed
  • Assist with business marketing and communications
  • Assist with database and systems management where directed
  • Handle incoming calls, emails, and inquiries with professionalism and efficiency
  • Assist in organising meetings, events, and conferences
  • Perform general office duties such as filing, scanning, photocopying, and data entry
  • Collaborate with team members to support our projects
  • Maintain confidentiality and handle sensitive information with discretion

 

 Experience/Qualities

  • Previous experience in an administrative, executive assistant or equivalent support-based role desirable
  • Experience in Microsoft Office suite is essential
  • Proactive and resourceful personality, with a can-do mindset
  • Ability to coordinate and prioritise competing demands
  • Exposure to business marketing, event management and communications
  • Possess a high level of diplomacy, discretion on confidential matters
  • Willingness to pitch in to assist others as necessary to contribute the overall success of the team
