Job Description - Administration Assistant - Professional Development Opportunities

Fashion/ Personal Care & Cosmetics Industry

• Leading Australian wholesaler of fashion accessories, BYS cosmetics & novelty products

• Support Role to our major Retail Customer

• Suburban location, showroom based in Heatherton

• Small Team Environment with a great culture

• 2 to 3 days a week with Flexible hours

• 12 month Maternity Leave Contract

 

In this role you will be the link between GFA and our major retail partner, working closely with all internal departments including Sales & Admin, Purchasing and Operations.  Some of the tasks will include managing product sales data, including collation, analysis and interpretation, producing weekly sales orders, coordinating new product drops and associated store signage. You will also manage customer service calls and emails from store management and be a problem solver.  

You will also be responsible for the maintenance of the retail POS system including updating product retail prices, product mins and flagging not for reorder lines. In the next 12 months we are looking to assist in the potential roll out of a new POS system and assist our customer in setting this up.    

In this role you will also be required to assist our customer with social media content including monitoring and replying to customer queries and comments on social media platforms such as Facebook, Instagram and Tiktok.  You will also be required to assist in the implementation of a new website and will be responsible for maintaining this with up to date information and promotions.  

You will be commercially astute, demonstrating high attention to detail, analytical capability, and IT savvy. You will be a team player able to form strong relationships within your own and other departments.

Some of the key responsibilities for this role are:

  • Supporting our retail partner in all areas
  • Preparing weekly stock allocations for existing and new products
  • Processing orders and ensuring inventory is on hand
  • Updating POS system with stocks, retails and mins
  • Coordinating with graphics to ensure signage is delivered along with the orders
  • Assist in managing logistics, tracking orders etc
  • Managing everyday store queries or issues
  • Liaising with other departments within the business to ensure we meet our customers expectation
  • Data entry, reporting & analysis
  • Maintain retail partners social media and website
