Administration Assistant / Receptionist

Hanrahan Health offers multidisciplinary therapy services across the lifespan – toddlers through to aged care.  We work in a range of clinical settings including our beautiful clinic spaces, private hospital, residential aged care facilities, schools, homes and via telehealth.  We love our diverse client population and our mixed caseloads.

Our Admin team member is the first point of contact for many of our clients.  We are looking for an experienced individual who has worked in an allied health or medical environment and has exceptional skills to ensure our clients have a positive client journey.

You will display compassion and kindness in everything you do, as well as adaptability in your digital and verbal communication with all of our team across our multiple clinics.

This is a permanent full-time position.

About the role

• Reception - greeting clients, answering phone, scheduling and rescheduling appointments, other general office duties (e.g. keeping the clinic space neat and tidy)
• Administration - actioning emails, preparing resources for the clinicians, preparing letters for GPs, filing client records, shredding confidential information, assist with ensuring clinicians' schedules are full
• Accounts - processing payments (in person and via phone), creating invoices, issuing invoices via email, emailing receipts to the bookkeeper, end of day reconciliations.
• NDIS invoicing and claiming online, chasing outstanding payments
• Assisting the Team leader to maintain functions at the clinic.

About you

• Considerable experience in an administration and client facing role within an allied health or medical environment. NDIS experience will be highly regarded.
• High level computer skills and experience with medical booking systems is desirable
• Ability to work independently and as part of a team
• Excellent communication skills, both verbal and written
• Exceptional organisational, time management skills and ability to multi-task
• Passion for working with vulnerable members of the community
