About the Role: We are seeking an experienced and dedicated Administration Manager to oversee and streamline our administrative processes, including HR administration, and to provide IT support and solutions (with the support of an external IT provider). In this role, you will be crucial to maintaining efficient operations, supporting our team, and advancing our mission. You will report directly to senior management and work closely with various departments to ensure seamless administrative functions.

Key Responsibilities:

  • Manage daily administrative operations, implement tailored policies, ensure compliance, and manage infrastructure communications.
  • Assist research teams with grant applications, ethics approvals, reporting, communication, and clinic administration.
  • Evaluate, implement, and maintain office technology, and provide staff training and support.
  • Manage office logistics, coordinate event support, oversee facility management, assist in the coordination of annual reviews, and manage insurance renewals and claims. 
  • Ensure compliance with relevant regulations and organisational standards, particularly in governance, risk, and compliance.
  • Provide human resources and workplace health & safety support through employee contract management, induction coordination, policy maintenance, training scheduling, and compliance oversight.
  • Prioritise and manage executives' schedules, and coordinate appointments, meetings, and travel arrangements.
  • Organise sub-committee schedules, and act as secretary as needed.

 

Essential Requirements:

  • Proven experience in administrative management, preferably in a not-for-profit or research-oriented organisation.
  • Strong leadership and interpersonal skills.
  • Exceptional organisational and multitasking abilities.
  • Proficiency in office software, including Microsoft Office, and customer relationship management systems (CRM). 
  • Extensive knowledge of various awards and Fairwork legislation. 
  • Demonstrated knowledge of human resources and or workplace health & safety. 
  • Knowledge of relevant regulations and best practices in not-for-profit administration.

Desirable Criteria:

  • Qualification in business administration, management, or a related field.
  • Proficiency in troubleshooting basic IT issues.
  • Certification in Senior First Aid.
  • Certifications in human resources and or workplace health & safety.  
  • Basic understanding of budgeting, procurement processes, and financial management principles.
