About the Role:

Full-Time position, ongoing (40 hours per week with ADO) within the Mental Health Department – Community Sites - Child & Adolescent Mental Health Services (CAMHS) to be based at Travancore (2kms from our main RCH Parkville campus).


The Mental Health team is seeking an experienced Administrative Officer all-rounder to provide front-line customer service involving a high level of interaction with families, clinicians, other Mental Health teams, departments within RCH and external agencies. Specifically, the position is responsible for ensuring the efficient and effective operation of the Mental Health administration services, performing all the responsibilities and duties required. Whilst this position will be primarily based at our Travancore office, you will be required to work as part of our admin pool and provide onsite admin support across our CAMHS services based at Sunshine and Hoppers Crossing in times of need.

The role will require flexibility to work across all three of our community sites with own vehicle required and ability to drive a fleet vehicle when required. Kilometres travelled between work sites can be claimed as a tax deduction or reimbursement as per ATO (Australian Taxation Office) guidelines.

This is a rewarding role which will include; front reception, telephone operations, customer service, data entry, patient bookings, patient registrations, computer operations, Fire Warden/Zone Warden, training of administrative staff, perform broad administration duties – including invoicing, purchasing, fleet management, onboarding of new staff and supporting the mental health teams, including the Administration Coordinator and Team & Site Coordinator and supporting the service and building maintenance of our premises.


To be Successful in This Role You Will Have:

  • Excellent customer service and people skills with the ability to build and manage key relationships across the organisation and ensuring a high level of service to consumers and a variety of stakeholders
  • Experience and or knowledge/capability to understand and learn site maintenance and working with Contractors
  • Display a high degree of empathy and a good understanding of mental health issues to provide the best service to our community with integrity and discretion dealing with confidential information and at times challenging situations
  • Willingness to accept change management, contribute towards continuous improvement and expanding your skills and knowledge base (including technology and administrative skills)
  • Excellent organisation skills and a flexible approach – can do attitude, including the ability to work without direct supervision, exercise initiative and discretion and act as a change agent

Classification for this position with range from MH AO2 Level 1 - Level 5 based on experience (base salary $66,549 to $76,388 per annum, plus superannuation)

Your skills and experience:

  • Experience working in a similar role, minimum 2-3 years
  • Highly developed verbal/written communication, attention to detail, interpersonal and presentation skills with the ability to apply these to a variety of stakeholders and situations
  • Demonstrated advanced computer application skills and ability to develop further
  • High aptitude to perform accurate invoicing and ordering of supplies
  • Excellent analytical and problem-solving skills with a proactive approach to problem resolution and ability to work with complex issues and challenging environments
  • Highly developed administrative skills with the ability to innovate and streamline office processes
  • A flexible and adaptable approach to functioning in a team environment that enhances the team’s high performance

About the Department:

RCH Mental Health is a Level 5 tertiary Infant, Child and Family Area Mental Health and Wellbeing Service and comprises community and hospital-based services. This includes three multidisciplinary community teams which are based in Travancore, Sunshine and Hoppers Crossing. This position will be primarily based in the location listed above however you may be required to work across sites should the needs of the service require this.

Our Community Mental Health Programs are undergoing an exciting transformation and expansion as we implement the recommendations from the Royal Commission into Victoria’s Mental Health System. The transformation will allow the RCH Mental Health Service to help more infants, children, and their families, and implement contemporary models of care that best meet the needs of the families we serve and support them to use their collective strengths for recovery and hope.
