Job Description - Administration Officer, Waste & Resources

The administration Officer – Waste & Resources provides administrative and operational support to assist in the delivery of Council’s Waste Management services, Environmental Sustainability initiatives and infrastructure maintenance and delivery.



The role contributes to the effective day-to-day administration of waste and resource recovery activities, including customer service, data management, reporting, and support to contracts and compliance processes.


 


The Administration Officer also supports the General Manager, Team Leader and broader Environment and Infrastructure team by assisting with the preparation of information, coordination of activities, and responding to community enquiries to help maintain service standards.




  • Full-time, Permanent Position

  • Estimated start August 2026

  • $74,850.204 annual salary 

  • Salary package includes:

    • Laptop

    • Uniform Allowance

    • Plus 12% Superannuation

    • Additional 3% Council superannuation contribution





Key Objectives


Administration and Customer Service



  • Provide administrative support across the Environment and Infrastructure team, including supporting Section 221 permit processing, records, correspondence, and responding to enquiries.

  • Support information systems and records to support accurate and timely service delivery.

  • Prepare and distribute routine reports, correspondence, and documentation for internal and external stakeholders.

  • Provide timely and accurate responses to customer enquiries, including waste services and related matters, with support from the Team Leader as required.

  • Assist with meeting coordination and documentation, including agendas and minutes when required.

  • Provide administrative support to committees and working groups as directed.

  • Support the Team Leader and broader team during periods of increased workload or absence.



  • Backfill the Team Leader Administration, Waste & Resources, during periods of absence.

  • Administration support for teams within Environment and Infrastructure department, as required.

  • Provide administrative support to the General Manager, Environment & Infrastructure, including managing calendars, scheduling meetings, arranging travel, and preparing correspondence, billing/invoicing, and purchase orders.



Waste Management and Sustainability Support



  • Assist in the administration of Council’s waste management services, including kerbside collection, resource recovery operations, and recycling programs.

  • Support the collection, collation and entry of operational data for reporting and monitoring purposes.

  • Assist with contractor liaison and customer service requests, ensuring issues are recorded and followed up.

  • Contribute to the delivery of waste and sustainability programs and initiatives through administrative support.

  • Assist in the preparation of communication materials and education activities relating to waste services where required.



Regulatory and Reporting Support



  • Maintain accurate data and records to support reporting and compliance requirements.

  • Assist in compiling information for monthly, quarterly and annual reporting.

  • Support the preparation of documentation required for regulatory and audit purposes.

  • Contribute to ensuring records and processes align with relevant legislation and Council policies.



General



  • Actively participate in training and Work Health & Safety (WHS) programs as required.

  • Report incidents, hazards and near misses in accordance with Council procedures.

  • Follow reasonable instructions relating to health, safety and injury management.

  • Maintain confidentiality and manage sensitive information appropriately.

  • Undertake other duties consistent with the level of the position as directed.



Essential Qualifications, Experience, Knowledge & Skills



  • Proven experience in providing administrative support, including supporting senior executives or managers.

  • Good communication skills, both verbal and written, with the ability to interact effectively with diverse stakeholders, including the ability to explain policy to the public and/or others and reconciling different points of view.

  • Strong organisational skills, with the ability to prioritise tasks and manage competing demands effectively.

  • Proficiency in Microsoft Office Suite and other relevant software applications.

  • Discretion and integrity in handling confidential information.

  • Ability to adapt to changing priorities and work under guidance.

  • Drivers Licence Class C.



Desirable Qualifications, Experience, Knowledge & Skills



  • Experience in waste management, environmental services, or local government.

  • Familiarity with contract administration or compliance processes.

  • Knowledge of local government systems, procedures, and legislative requirements.

  • Relevant tertiary qualification in business, administration, or environmental management.


 


Key performance indicators



  • Accountability in meeting regulatory reporting

  • Timely calendar management.

  • Effective administration coordination.
