About the Role: We are seeking a highly organized and proactive Administrative Assistant to support our bustling home staging office. In this role, you will be the backbone of our operations, ensuring that everything runs smoothly behind the scenes. From handling administrative tasks to coordinating schedules and managing client communications, you will play a crucial part in maintaining the efficiency and effectiveness of our office.

Key Responsibilities:

  • Provide administrative support to the management team and various departments within the company.
  • Handle incoming calls, emails, and client inquiries in a professional and timely manner.
  • Schedule appointments, coordinate meetings, and manage calendars for the staging and sales teams.
  • Prepare and edit documents, reports, and presentations as needed.
  • Assist with project coordination, including tracking deadlines, milestones, and deliverables.
  • Maintain accurate records and databases, ensuring data integrity and confidentiality.
  • Support inventory management by assisting with ordering supplies, tracking inventory levels, and coordinating deliveries and pickups.
  • Organize and maintain office files, both physical and digital, ensuring easy retrieval and accessibility.
  • Assist with the preparation and distribution of marketing materials and client proposals.
  • Provide exceptional customer service to clients, addressing their needs and concerns promptly and efficiently.

Qualifications:

  • Previous experience in an administrative role or office environment, preferably in the real estate or home staging industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills with a keen attention to detail.
  • Strong communication skills, both written and verbal.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Positive attitude, team player mentality, and willingness to learn and adapt.
  • High level of professionalism and discretion when handling confidential information.
