Job Description - Administrative Assistant - Urgent Hiring

We are looking to hire a creative Administrative Assistant to join our collaborative team at 400 Gradi in Brunswick East, Melbourne VIC.

Position Overview:

This role is all about keeping things ticking along like clockwork. The successful candidate will be responsible for a range of administrative tasks, primarily focusing on maintaining and updating employee records, data entry, employee queries, and providing general support to the team. The position requires attention to detail, excellent communication skills, and the ability to handle repetitive tasks efficiently.

Key Responsibilities: 

  • Maintain and update employee records in compliance with company policies and regulations.
  • Perform accurate data entry tasks, ensuring the integrity and confidentiality of information.
  • Respond to queries promptly and professionally, redirecting inquiries as necessary.
  • Answer incoming calls, taking messages and forwarding calls as required.
  • Assist in scheduling appointments and maintaining calendars.
  • Receive and execute ad hoc tasks as required by key personnel.

Requirements:

  • Proven experience in an administrative role preferred.
  • Excellent written and verbal communication skills – you're a pro at crafting clear and professional emails. 
  • Tech-savvy and proficient in MS Office Suite (Word, Excel, Outlook) and other relevant software. 
  • Highly organised with a keen eye for detail and the ability to prioritise tasks effectively.
  • Flexibility to adapt to changing priorities. 

Working Hours:

  • Full-time: Monday to Friday
  • Part-time:
    • Option 1: Five days a week with reduced hours
    • Option 2: Four days a week 

Note: This position requires working in the office. Remote work options are not available.
