Job Description - Administrative Officer (Purchasing)

Hilton Manufacturing commenced business in 1976 and now operates from two modern factories, one located in Wacol, Queensland and our Head Office located in Dandenong, in the South-East area of Melbourne. Hilton Manufacturing is a family-owned business and is recognized as the foremost component manufacturer to the Trucking Industry, Defence force, and Caravan industries providing services to all Australian Truck O.E.M.s and is the preferred supplier to Iveco, Mercedes, Kenworth, Volvo, MACK and Western Star. The company is also a preferred supplier to Defence and Caravan industries supplying all metal components including chassis, door frames and bumper bars. Hilton Manufacturing also supplies all of the Australian truck companies with aftermarket parts.

Located in Wacol, we are looking for an applicant who can work flexible school-based hours (approx..5 hours per day), Monday to Thursday (4-day week).  This will be a casual position, with the view of the role becoming permanent for the right applicant.

Key Tasks / Responsibilities

  • Processing of purchase orders
  • Processing all delivery dockets and receipting into our ERP system
  • Creating and closing Job Sheets
  • Maintaining the internal database with order details, including but not limited to contact details, pricing, part references and purchasing documents, files and records
  • Regularly liaise with warehouse and production staff
  • Data entry and other ad-hoc administrative duties
  • Deliver and forecast the inventory of materials and consumables to maintain continuity of stock levels
  • Sourcing suppliers and quotations as required and maintaining supplier relations
  • Keeping accurate records and databases
  • Drive lean methodologies throughout the organization, commencing with sourcing strategies, lot quantities and Kanban implementation
  • Respond to enquiries of staff and administration in a timely fashion ensuring customer service levels are met

 

To be considered for this opportunity, you will ideally have:

  • Purchasing experience within the manufacturing or industrial services is desirable
  • Good understanding of and experience in supply chain process/procedures
  • Experience liaising with suppliers
  • Intermediate system skills including MS Office, Excel and other inventory systems
  • Strong understanding of purchasing fundamentals, Lean Methodologies and replenishment systems
  • Proactive, driven and able to use initiative

Skill Level / Relevant Qualifications (desirable, but not essential):

  • Purchasing / Supply Chain or Lean Methodologies experience
  • Experience working in a ‘lean’ environment with Kanban and pull systems
  • Inventory Management experience

We are looking for someone who is self-motivated, dependable, can make decisions with excellent interpretation and communication skills. Building excellent working relationships is also another key to the role. Proficiency in Microsoft Office is required. Training will be provided as required.
