Job Description - Admissions Manager

Responsible To: The Director of Admissions

Responsible for: A team of four Admissions staff, including a Deputy AdmissionsManager

Department: Marketing, Admissions and Foundation

To support the Director of Admissions in delivering an efficient and effective admissions service, to provide support for all duties and responsibilities related to the Admissions office. To work with the Director of Admissions to manage the cross-department workload and allocation of tasks. The post holder will lead the departmental team and oversee the admissions process for all year groups.

Working in Admissions, Marketing and Development

The Department is very much at the heart of Lancing activities; we are an energetic and forward-thinking team of talented individuals focused on contributing to the success of Lancing College. Across the team there is extensive engagement with both internal and external stakeholders.

Internally, key points of contact are the Head Master and Deputy Heads, Housemasters/Housemistresses, Heads of Department and Co-Curricular teams including Art, Drama, and Music. Whilst Admissions is a non-academic department, there are plentiful opportunities to interact with the student community, both current and incoming.

Externally, members of this team are frequently the first point of contact for visitors and guests, representing the College face to face, on the telephone or across social media. The wider Lancing community of Ols, current parents and parents of former pupils are extremely important to the College, and the Head Master’s Office team is a primary point of contact and information.

The Admissions, Marketing and Development team is managed by Mrs Diana Cree, who has been at the College since March 2016. Mrs Cree reports to the Head Master and sits on the Senior Executive Team for the College.

Job Description

Responsibilities

  • To create a positive impression to those seeking information on admission to the school, to manage all visits and communications with prospective parents and to ensure that the registration process is captured in a timely and accurate manner.
  • To deal with new pupils from initial contact through to arrival at the school, ensuring that all relevant data is captured at every stage to guarantee accurate reporting.
  • To assist in the marketing of the school to prospective parents, prep schools and educational agents.
  • To manage the organisation and customer experience for College student recruitment events held on site.
  • To attend events for prospective parents and Lancing and externally, Preparatory School events and when agreed international recruitment events.
  • To work with the Director of Admissions to develop and maintain strong relations with prep/feeder schools, including managing mailings with Prep Schools regarding Lancing events.
  • To manage the administration of entrance assessments, scholarships and additional tests, producing programmes for each individual pupil and manage the post assessment communications with parents.
  • To work closely with staff across the College to ensure effective communication and up to date information is available through the recruitment process.
  • To work with other members of the staff to affect a customer-friendly transition of pupils to the school following confirmation of a place. This will include managing the distribution of pre-arrival communications (joining instructions) to parents and pre-arrival event planning for New Pupils events.
  • To assist in the administration of the Child Student Confirmation of Studies requirements for overseas students.
  • Dealing with other issues as determined by the Director of Admissions.
  • To work with the Executive Director of External Relations and Communications in the recruitment and admissions process for applications for the Foundationer programme.

Person Specification

Qualifications:

  • Educated to minimum GCSE standard in English and Mathematics.

Experience:

  • Previous experience of working within a school or a good knowledge of the independent education sector would be an advantage.
  • Experience of developing and managing events would be an advantage.
  • Previous administrative experience including a comprehensive knowledge of Microsoft and database management.
  • Previous experience of working within a demanding customer service environment.

Skills:

  • Excellent communication and interpersonal skills both verbal and written.
  • IT literacy – particularly in Word, Excel and Outlook.
  • Accuracy and strong attention to detail.
  • Ability to work under pressure.
