Job Description - Alumni Engagement Coordinator

About This Opportunity 

As the Alumni Engagement Coordinator, you will be a key staff member in the Central Advancement team; you will be responsible for planning and delivering a comprehensive outreach and engagement program that involves a range of targeted events, communications and marketing initiatives, which vary in size and complexity.

Working as a valued member of a proactive and multidisciplinary team, you will be a first point of contact for internal and external stakeholders in all matters relating to alumni engagement and will strategically engage with stakeholders to provide tangible benefits to alumni and other key stakeholders, including students, academic and professional staff.

Key responsibilities will include: 

  • Engagement Initiatives - Under the direction of the Manager, coordinate impactful, university-wide alumni engagement initiatives by working closely with senior leaders, faculties, and professional staff; provide expert support and guidance for alumni activities, manages key internal and external relationships; represent Advancement leadership at events; oversee end‑to‑end event delivery—including planning, promotion, supplier management, briefing materials, and guest liaison—while ensuring strategic, timely communications; develop systems to track and evaluate engagement outcomes, strengthens alignment of alumni relations across faculties; and collaborate with the Annual Giving team to integrate philanthropic opportunities into programming.
  • Communications - ensure all event and program messaging is strategically aligned with Advancement and University priorities, while working closely with marketing and communications teams to supply current and engaging content for relevant channels; coordinate clear and consistent internal communication about alumni and community engagement activities, including preparing written updates and reports to keep Advancement staff informed of outcomes and impact.
  • General - support broader Advancement activities during peak periods; help ensure the central team delivers a consistent and brand‑aligned message in line with University policies and style guides; and maintain strong, regular communication with faculty and institute staff to coordinate and reinforce cohesive alumni engagement efforts.
  • Finance and Reporting - support the Manager with annual budgeting, reporting, and planning for alumni engagement by providing informed recommendations on priorities and expenditure; prepare and maintain accurate budgets and documentation for each initiative, ensuring all materials are properly recorded and stored; and uphold high standards of data accuracy and timely record‑keeping across all engagement activities.
  • Travel and Out of Hours Work - Some event-related travel may be required from time to time; some after-hours and weekend work may also be required

This is a Full-time (100%), fixed term position through to December 2026 at HEW Level 6.

About You

  • A tertiary qualification with subsequent relevant experience, or extensive work experience/specialist expertise in community engagement, events management and/or communications.
  • Highly effective organisational and planning skills including excellent attention to detail and accuracy, the ability to use initiative, prioritise own workload, solve problems and meet strict deadlines.
  • A sound understanding of basic fundraising and alumni relations principles, and appreciation of the role that engagement and stewardship of donors and volunteers has within fundraising strategies.
  • An understanding of marketing and communications principles as well as an appreciation for sound policies around accurate data evaluation, tracking, and accuracy.
  • Demonstrated ability to manage high quality events and activities within designated budgets. Experience in events management is essential. Demonstrated experience working successfully with a range of stakeholders from a variety of cultural backgrounds in a service delivery environment. Experience in alumni relations will be highly regarded.
  • Proficiency in the use of a wide range of computer applications. Knowledge and use of databases or CRM systems. Experience using the Raiser’s Edge database would be an advantage.
  • Knowledge of the preparation and monitoring of budgets and processing financial transactions in a large to medium sized organisation, or the demonstrated ability to rapidly acquire such knowledge.
  • Must have a positive attitude and display emotional intelligence and maturity, with outstanding interpersonal and communication skills, confidentiality and negotiation skills.
  • A flexible approach and ability to adapt to changing circumstances
  • Experience in a tertiary environment is highly desirable.

Appointment to this role is subject to the successful completion of relevant pre-employment checks, which may include verification of the right to work in Australia, qualifications, criminal history checks, and any other role-specific requirements such as Blue Card checks. This may also include checks relating to gender-based violence matters or other integrity and conduct requirements.

You must maintain unrestricted work rights in Australia for the duration of this appointment to apply. Employer sponsored work rights are not available for this appointment.
