We're seeking driven, highly organised, client-focused individuals with a genuine passion for commercial real estate to join our team as Associate Commercial Property Managers. 
In this role, you will dive into a comprehensive on-the-job training program, thoughtfully paced to ensure you absorb each facet of commercial real estate thoroughly. We will be teaching you from the ground up. 
You will become an integral part of a small, close-knit pod of property managers, working collaboratively on administration, repairs & maintenance, budgeting & finance and more, all under the guidance of your dedicated team leader and the Director of Commercial Property Management.

Your journey will lead you to becoming a Commercial Property Manager, where you will oversee your own portfolio of properties.

Main Tasks & Responsibilities

General Administrative Tasks

  • Provide daily reception and administrative support, including the issuing and management of property keys.
  • Manage phone and email inquiries from tenants, clients, and others.
  • Participate in property management and staff meetings.
  • Collaborate with service providers and contractors.
  • Attend staff events and client gatherings.

Tenant and Client Communication
On behalf of the property managers you will:

  • Maintain communication with clients, tenants, and stakeholders.
  • Notify tenants of property works and events.
  • Handle property emergencies, create work orders, and liaise with contractors, tenants, and managers.
  • Maintain accurate property records, including lease agreements, insurance, and maintenance reports.
  • Assist with tenant movement in and out of properties.

Property Budgeting and Financials
At the direction of the property managers you will:

  • Assist and learn in the preparation of annual property budgets: Work with the property manager to create budgets, taking into account income, expenses, and maintenance costs.
  • Assist with the Estimated & Reconciliation of Outgoings: Support in calculating and reconciling property expenses, and communicate these to tenants.
  • Recover Sundry charges from tenants: Ensure that tenants are billed correctly for additional charges, and follow up on payments.
  • Support in arranging the payment of invoices: Help in processing and paying invoices for property-related expenses.
  • Follow up Tenant Arrears: Keep track of rent payments and send reminders to tenants with overdue rent. Initiate the necessary actions if arrears persist.
     

Role Requirements

  • Role is 9am-5pm, Monday - Friday with potential emergency on call phone coverage as required.
  • Must hold a current drivers licence and own vehicle as site visits may occasionally be required.
  • Must be willing to complete a Certificate IV in Real Estate at the direction and expense of the company. 
  • The ability to learn new systems and programs quickly and effectively.
  • The ability to work as part of a team and independently.
  • Sound problem solving skills.
  • Sound knowledge of Google Workspace & Microsoft 365 Office Suite.
  • Excellent communication skills, both written and oral.
  • Ability to show initiative and prioritise workload.
  • Neat personal presentation.
