Job Title: National Bid Coordinator
Location: Melbourne, Brisbane or Sydney 
Reports To: Head of Bids and Proposals
Position Type: Full-Time

About Us: My client is a leading commercial fit-out, construction, and design business known for delivering high-quality projects across the country. Their team is dedicated to innovation, excellence, and client satisfaction. They are currently seeking a dynamic and detail-oriented National Bid Coordinator to join their team and play a pivotal role in their growth and success.


Position Overview: The National Bid Coordinator will be responsible for managing and coordinating the bid process for large-scale commercial fit-out projects across the country. This role involves working closely with various departments, including sales, project management, and design, to ensure the timely and accurate submission of bids and proposals. The ideal candidate will have a strong understanding of the commercial fit-out industry, excellent organisational skills, and the ability to work under pressure to meet tight deadlines.
Key Responsibilities:
  • Bid Management: Oversee the entire bid process from initial enquiry to final submission, ensuring all deadlines are met.
  • Coordination: Collaborate with internal teams (sales, project management, design, and finance) to gather necessary information and compile comprehensive bid proposals.
  • Documentation: Prepare and review bid documents, ensuring they meet the required standards and specifications.
  • Quality Control: Ensure all bid submissions are accurate, complete, and aligned with client requirements.
  • Client Interaction: Maintain communication with clients during the bid process to clarify requirements and provide updates.
  • Market Research: Conduct research on potential projects, industry trends, and competitor analysis to inform bid strategies.
  • Compliance: Ensure all bids comply with legal, safety, and industry standards.
  • Reporting: Maintain accurate records of all bid activities and provide regular updates and reports to senior management.
  • Continuous Improvement: Identify areas for improvement in the bid process and implement best practices.
Qualifications:
  • Experience: Minimum of 3-5 years’ experience in bid coordination, preferably within the construction or commercial fit-out industry.
  • Skills:
    • Excellent organisational and project management skills.
    • Strong written and verbal communication abilities.
    • Attention to detail and ability to produce high-quality work under tight deadlines.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and bid management software.
    • Ability to work independently and as part of a team.
  • Knowledge: Familiarity with the commercial fit-out and construction industry, including key players, market trends, and project lifecycle.
