The Bid Coordinator is crucial in assisting the Bid team with the preparation, coordination, and submission of bid proposals. This role requires a high level of organisation, attention to detail, and the ability to work under pressure. The successful candidate will support various administrative tasks, ensuring smooth and efficient bid processes.
Key Responsibilities:
Assist in the preparation and formatting of bid documents, ensuring they meet client requirements and company standards.
Coordinate with internal stakeholders to gather necessary information and inputs for bids.
Maintain and update a comprehensive bid library with up-to-date templates, case studies, and other relevant documents.
Track and monitor the status of bids and provide regular updates to the bid team and senior management.
Conduct research on potential clients and competitors to support bid strategy.
Ensure compliance with all legal and regulatory requirements in the bid process.
Provide administrative support to the bid team, including scheduling meetings, managing calendars, and organizing files.
Support the post-submission process, including debriefs and follow-ups with clients.
Key skills, experience and qualities
Bachelor’s degree in Business Administration, Marketing, or a related field is preferred.
Experience in bid administration, proposal writing, or a similar role is an advantage.
Excellent organisational and time management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to work independently and as part of a team.
Attention to detail and a high level of accuracy.
Familiarity with the rail industry bid requirements and standards is a plus
